    How do I apply paragraph spacing? (PPT 2007)

    Hi,

    Can anyone tell me how to apply paragraph spacing? Line spacing is easy where the spacing between each line is evenly distributed, even between sub level points. But if I have a bulleted list with sub level text, I would like the main point with the sub points to stay together, and only the main points to get extra space added between them. This was achieved easily in 2003 by choosing Format | Paragraph and adjusting the paragraph spacing of stead of the line spacing. The two did different things, but 2007 always adjusts the space between sub levels and main points evenly!

    Another example of dumbing down in PowerPoint 2007, so the first answer that comes to mind is "go back to PowerPoint 2003". But I know that is not acceptable, so: you can add Paragraph Spacing to your Quick Access Toolbar. although it's still not as convenient as the dialog available in all previous versions.

    Sorry if I sound dumbed down here, but I have two 'paragraph' buttons in the button list to add to the Quick access toolbar, and both take me to the same options that the ribbon gives me. Do you know maybe what the button is called?

    No idea, I don't have Office 2007.

    OK, this is the closest I came to finding out that you have to live with the line spacing tool until some improvement is made to this feature.

    The only way to get customized spacing between main and sub levels is to select all the points, apply say a 2.0 line spacing to it and then select the point with its sub points and apply a 1.0 line spacing. This you will need to do manually for each set.

This appears to work for me the way I expect but I haven't used PPT2007 other than for exploring. It is a problem finding the right way to do things though.

    Here is how I modified the spacing to the way I want it.
    1. Go to View and select the Slide Master button
    2. Select the Title and Content Layout from the possible slide layouts shown on the left of the screen
    3. Click in the text block where your body content goes and Select All
    4. Right click this and choose Paragraph - apply the line and paragraph spacing that you want for the top level bulleted text
    5. Now select the second to fifth level paragraphs, right click and choose Paragraph - apply the line a paragraph spacing that you want for these lower levels
    6. If you want the third level even tighter follow the same logic as step 5 for the third to fifth levels

    Now when you return to your slides, this paragraph spacing should apply to all the slides that use this layout. You may need to reapply the layout to remove any local overrides you placed on those slides.

    I just read the link you posted and read this as more of a rant on how many steps/clicks are now required rather than you just cant do it. I agree that there is a large number of steps for what should be a point and click interface but really this method hasn't changed from the earlier versions of PPT. I always modify the master layouts to fit the MAJORITY of the slides rather than individually tailor every slide.

    Andrew,

    Thanks for that reply. I think I was just letting off steam myself after I discovered that the paragraph spacing feature (dialog) did not exist. I am aware that paragraph spacing can be done, but with much more effort involved than the dialog in the older version. Whether it is done on the Master slide, or for an individual slide list, I guess I was just joining the rant when I discovered the effort involved, when it did exist in the earlier versions.

    Your method you recommend is quite good. Powerpoint allows you select bulleted points, skipping other levels, but using CTRL. So if one selects all the first level points and apply 2.0 line spacing, and keep the level 2 bullets at 1.0 line spacing, this sorts out the list quite quickly...(even though it's just a bit more effort than the dialog in 2003)
