    Compressing Word and PDF files (10)

    I have a 33 page document: 14 pp in WORD, 19 pp. of paper letters on various letterheads. We scanned all the material and created one Adobe pdf file. It was 64 MB! We used the reduce file size function in Adobe and got it down to 30 MB. This still is much too large to send to anyone. What else can we do to reduce the size of this file?

    1MB per page is too much for black and white scans, but color scans can be unreasonably large. Make sure to scan B&W pages in B&W or grayscale. Also consider the resolution. Unless it's fine art, you usually can get by with 200dpi, the resolution used by fax machines. If the pages are "noisy" (a lot of texture in the background), you could try to clean them up by making higher contrast copies before scanning.

    Finally, would it be a problem to print the 14 pages to PDF using a PDF printer driver, setting an appropriate output resolution for any graphics? By using PostScript rather than a bitmap for your Word pages, you can save hundreds of KB per page. However, it is a bit more easily extracted for editing or other re-use than scans. To assemble a new PDF from a print of 14 pages, first extract the other pages from your giant PDF (to a file on disk), then insert them into the new slim and trim PDF.

    Your suggestions worked great. My wife reduced her documents from 30MB to 784KB! She says <img src=/S/thankyou.gif border=0 alt=thankyou width=40 height=15> <img src=/S/thankyou.gif border=0 alt=thankyou width=40 height=15> <img src=/S/thankyou.gif border=0 alt=thankyou width=40 height=15>.
