Applying/linking numbered list to actual headings (2003)

    Hi there,

I have just managed to crack getting my numbered headings working on a contents page.

    so I have:

    1. HEADING1
    1.1 Heading 2
    1.1.1 heading 3

Then underneath the contents page I have all the actual headings, and their content.

What I want to know is, is there a way I can now apply that numbering to the correct headings, in the document body, rather than manually going through the whole document and selecting all the headings?

Also, is there a way to link the numbered headings in my contents page, with the actual headings in the document body. So that if someone wants to amend something in the document body, and add for example, a secondary heading, the contents list will automatically be updated with the correct numbering?

    Welcome to Woody's Lounge!

It actually works the other way round.

You should use the Heading 1, Heading 2 etc. styles for the actual headings in your document.
You can then apply outline numbering based on the heading styles - see screenshot below.
All paragraphs formatted as Heading 1, Heading 2 etc. will be numbered automatically.

Next, remove the table of contents that you created manually.
Select Insert | Reference | Index and Tables...
Activate the Table of Contents tab.
Select the options you want (the defaults are probably OK), then click OK.
This will insert an updatable table of contents into your document.

When you have modified the headings in the document:
    - Select the table of contents.
    - Press F9.
    - If you only moved headings around, it is sufficient to select "Update page numbers only".
    - If you have added, deleted or modified headings, select "Update entire table".
    - Click OK.

Thanks for the reply. Some strange things seem to be happening though...

The contents table I have inserted now reads:

    1 1 Heading 1
    1.1 1.1 Heading 2
    1.1.1 1.1.1 Heading 3
    2 2 Heading 1

Then underneath, in the document body:

    3 Heading 1
    3.1 Heading 2
    3.1.1 Heading 3
    4 Heading 1

It looks like you have applied Heading styles to the tables of contents itself; it should use TOC1, TOC2 etc. as styles.

Re: Applying/linking numbered list to actual headings (2003)

How would I undo this then?

It looks like this (eg if my first heading was called 'Scope'):

    (in the table of contents)

    1 1 Scope

    (In the docu body)

    1 Scope

It seems like the table of contents, is counting the numbering next to each heading in the document body, as part of the heading title.

Could you attach a copy of your document to a reply? You can remove all 'normal' text, but please leave at least some of the headings. Oh, and make sure that you alter or remove sensitive information. Maximum file size for attachments is 100 KB.

Re: Applying/linking numbered list to actual headings (2003)

Somehow, the styles used in the table of contents (TOC1, TOC2 and TOC3) have become based on the corresponding Heading styles, causing numbering to be duplicated.
You could turn off numbering for each of the TOC styles in turn, or use the following method:
    - Select Tools | Templates and Add-Ins...
    - Click Organizer...
    - Activate the Styles tab.
    - Select TOC1 to TOC3.
    - Click Delete and confirm.
    - Click Close, then OK.
    - Select the TOC.
    - Press F9 and let Word update the entire table.

Thank you so, so much for your help. This has worked a treat.

    Regards,

    Tom.
