    Displaying readability statistics (Word 2000 SP4)

    How do I get the readability statistics to display for a document?

    I'm revising a document to lower the reading level. Somehow I got the Readability Statistics to display in a dialog box on the original. But for the revision (saved with a new name) which I'm attaching, the dialog box doesn't appear.

    In the Tools-Options-Spelling & Grammar, I've selected "Check grammar with spelling" and clicked OK. But there's no information in the dialog box. It just says that it has checked the document. I've tried looking at the Word Count item and there aren't any readability scores there either.

    What am I doing wrong? Help, help!

    Activate header/footer view.
    Select the entire text of the page footer.
    Select Tools | Language | Set Language...
    Click the "Do not check spelling or grammar" check box until it is clear.
    Click OK.
    Close header/footer view.
    You should now see readability statistics when you perform a spell check.

    Hans, your instructions worked perfectly! I would never have thought that the document footer would have options set different than the text. Knowing Word, I should have, but there you are. Now, slick as a whistle, I can display readability statistics. Cool.

    Hans, here's a new wrinkle on the readability display --

    I have to make the Language checking adjustment in the footer every time I check the document! I can think of 2 better solutions, and would like your advice.

    1. Uncheck Spelling and Grammar check in the footer language and save this option as the default for all documents. Can I do this? How?

    2. Remove the footer from any document I'm going to test for readability. OK, but a pain in the ----.

    Try this:
    - Select the entire footer.
    - Press Ctrl+Space.
    Does this help?
    If not, you may have to remove the page number; as far as I know that is the culprit. The rest of the footer text is not a problem.

    I tested in Word 2003. Readability statistics are displayed in the document that Betty attached without having to do anything special.

    Has anyone else noticed that the Readability Stats wordcount differs from the Tools, Word Count figure?
    The only thing I've been able to pin it on is bulleted lists - WC counts bullets, RS don't. Or so it seems with a short docuemnt. But I have a correspondent who reports a doc where word count gives 3274 words and the spelling and grammar checker 2544

    Some statistics also count the spaces between sentences as separate words. It's difficult to know what the various word counts available in Word (interactively and in VBA) actually mean.

    2082 according to Word 2003 count or 2079 according to reaqdability
    OpenOffice 2120
    Abiword 2071
    IBM Lotus symphony 2285 !

    About using Ctrl-Space to get unwanted options out of the footer/page number -- It didn't work, but removing the footer is effective in getting the readability statistics to appear.

    Just out of curiosity, is there anything in the header of a document that would cause the same problem with showing readability statistics? That's a header without a page number in it.

    In general, a header or footer without a page number shouldn't cause problems with readability statistics. The culprit appears to be that page numbers are by default marked as "Do not check spelling or grammar".
