Marking an Appt as Done? (Outlook 2007)

I have a scheduled payment due the 15th of the month. I have it set as recurring, with a 3 day reminder. Why would it be showing now on the ToDo Bar? Is Outlook seeing the past appointments as "not complete" and therefore still on the list?

If that's the case, how do I set an appointment as "Done", so that it wouldn't show up until the reminder triggers?

So if appointments as well as TTD are showing on the ToDo

    Regards,
    Chuck Billow

Are you sure this isn't a task?

Joe, I just went and double-checked.

It's (one of them) a recurring appt. set on August 15 with an 8 hour reminder. And I also checked the tasks, and it wasn't listed there.

(Edited by JohnBF on 04-Aug-08 09:37. )
It's a recurring appointment, so it's also a future appointment, and these show up on the to-do bar, right? Or you might have flagged it or changed your to-do bar view. See http://office.microsoft.com/en-us/outlook/...2091181033.aspx and http://office.microsoft.com/en-us/outlook/...99251033.aspx#5.

    John:

I'm off to look at the links... But just the fact that it's recurring, and therefore future shouldn't be enough of a trigger, else all all future appts' would show.

There's got to be a time parameter somewhere for how far in advance etc.

Anyway, I'm off to the links.

    Thanks,
    Chuck

It appears that it IS just based on how many you are showing, and not necessarily whether they are current or future or... Then if I had no appts. till next August, I guess it would show those as well. Strange.

    Thanks,
    Chuck

How do you have the To-Do bar configured? View | To-Do Bar | Options.

Re: Marking an Appt as Done? (Outlook 2007)

Guys, I have my To-Do bar configured to show appointments (3) and tasks, and show 2 months.

I sort of understand why I'm having the problem, but not thoroughly, and even then ask"Why?" and/or "Can I change it?".

The appointments that are showing are recurring, so yes, they are coming up, so they show up as "future appointments."

But say, for instance, that this is August, and I put in my daughter's birthday, December 7, (I know, Pearl Harbor Day, TRIUST me I KNOW). So it it going to show up even in August? Do I need to know in August about a birthday in December?

Why? I mean, I know "why", but, Why?

    Can't this be adjusted?

I think Outlook is just doing what you are telling it to do. It is showing you three appointments.

Re: Marking an Appt as Done? (Outlook 2007)

You can probably limit this by automatically archiving past NON-RECURRING Appointments, but you may be stuck with recent past Recurring Appointments showing in the To-Do Bar. IIRC, you can't archive the old instances of Recurring Appointments - unless you go to all the bother of moving the Start Date up to the next occurrence after each recurrence has passed.

Yet another Outlook Annoyance - far from the only one.

    Joe, you're of course right.

I think what I was wondering was if there's a way to tell it to only display appointments that are within a reminder period.

    Apparently not.

    Thanks,
    Chuck

Perhaps there is a way. This MSDN blog entry explains how to set a filter on Tasks in the To-Do bar - you should be able to create a Filter to show only future Calendar items. (I'll leave it up to you to work this out - be careful in how you set the filter.)
