    Enter text in more then one location (2003)

    Hi
    Not sure how to ask but here goes.

    I have a document in which I need to enter the same text in several locations within the document. Is there a simple way of doing this once and then having the text automatically added in the other locations within the document?

    There are several possibilities.

    If your document is protected for forms, with controls from the Forms toolbar, you can refer to form text boxes elsewhere in the document:
    - Unprotect the document.
    - Double click a form text box.
    - Note the name of the associated bookmark (you can set it to a meaningful name).
    - Tick the check box "Calculate on exit".
    - Position the insertion point where you want to refer to the form text field.
    - Press Ctrl+F9 to insert field braces { } (do not type the braces yourself).
    - Type the name of the bookmark between the braces.
    - Press F9 to hide the field code and update the field (it'll probably disappear for now).
    - Repeat as needed.
    - Protect the document for forms.

    You can refer to other bookmarks too, but in an unprotected document it's rather easy to overwrite a bookmark and to delete it.

    Another option is to use the StyleRef field to refer to text using a specific style - look up StyleRef in the Word help.

    Yet another option is the Ask field - this field defines an invisible bookmark that you can refer to as described above. Look up Ask in the Word help for more info.
