    space between sentences (all versions)

    I am having a discussion with a colleague regarding the spaces between sentences in word and could use some expert opinions: does word automatically insert two spaces between sentences, or must they still be added manually? thanks--sorry to burden the board with such a petty question~

    I don't think Word has that functionality. A fairly easy workaround is to use Edit, Find & Replace. In the Find What box press the spacebar once. In the Replace With box press the spacebar twice, then click on Replace all.

    Word does not automatically put any spaces between any sentences, though you could customize Word to do this. When I created a manual that required two spaces (which I believe is not common practice anymore--just one space is), I would find and replace all (single) spaces with two spaces. And then I'd search through again and replace three spaces with two spaces until no replacements were made after hitting replace all.

    No, but the grammar checker can be configured to check for a certain number of spaces between sentences (1 or 2, or Not checked).

    If you use "smart cut and paste" then Word will only put one space after periods during its clean up on the pasted area. Otherwise, I don't think it cares.

    Take a look under Tools => Options => Compatibility. I know that there is an option for two spaces available, but I'm not sure where it is. BTW if you are using a proportionally spaced font the proper spacing is built into the font using a single space. If you want references on this, write back and I'll supply them.

    Sorry to come in late on this discussion but I was on vacation and am only catching up on lounge items.

    Not sure if I understood a few items about using find/replace: they seemed to suggest replacing ALL occurrences of 1 space with 2 spaces. I don't think that's what was intened (?). You certainly don't want to replace 1 space between words with 2 spaces. So you'd search for the string ". " [without the quotes] and replace it with ". ". But you still run into problems with abbreviations like "Mr. Bush...". Depending on how many abbreviations you have might determine the workarounds.

    Some of the other responses have referred to threads about how many spaces should be in, so I won't go there.

    Lastly, I'll note that MS seems to suggest 1 space at the end of a sentence (not sure where I saw this; maybe it's my imagination). But they supply a "capability" where you can type "=rand()" [without the quotes again] and it will type a few paragraphs and sentences in each para. Here, Word uses 2 spaces between sentences. Looks ugly in my opinion.

    You know what they say about opinions! That notwithstanding, here's mine. During my career as a professional technical document reviewer and contracts manager, I have always used 2 spaces after a period, regardless of whether I have used a typewriter or a word processor. The result, in my opinion, is more clearly delineated text and a more professional appearance. Of course, this is largely a matter of personal preference and, quite likely, corporate standards. There is no standard...you'll likely find as many opinions as you find style guides. Don't waste much time thinking about it...pick a standard and use it consistently. Good luck!
