Printing 2 copies per page (Word 2k SR-1 on Win98SE)

I have a single-sided booklet that I have printed on a Docutech professional printer. The size is 8.5" tall by 7" wide. I would like to print two copies of each booklet page per legal size paper. That way, the printer should be able to cut right down the middle, and would in effect be printing two booklets per run. How can this be done?

To help visualize: hold a legal size paper landscape. Imagine a division exactly in the middle of the page. The left size would be (for example) page 1 and the right side would be page 1. The next legal sized sheet of paper would have page 2 and page 2. Cut the entire stack of paper down the middle and we end up with two booklets.

I have Adobe Acrobat as well as Word. I can create a PDF, if that would somehow help this situation. Is there another way to get similar results?

(If I were to just print page 1, page 2, page 3, page 4 (left right, then new sheet left, right) we'd end up with a shuffled deck of pages that would have to be manually straightened out. Yuck.) <img src=/S/confused.gif border=0 alt=confused width=15 height=20>

I did something similar recently and couldn't think of a way so set up a couple of text boxes taking up half the page and pasted the text into them. Worked fine although a bit fiddly to get set up. I too will be interested to hear of any other answer. <img src=/S/eyeout.gif border=0 alt=eyeout width=15 height=15>

Have you considered using Mail Merge? Since you say it's a single-side booklet (always printing on right page, I presume) put your content into a single-column table that's 2 rows high. In the first row 's cell, type "Text" (without the quotes) and save it (I would suggest a new file called BookletData so your original is intact).

Create a new document with a 4-cell table, landscaped on legal size paper. Remove the table borders (Undocumented short-cut combo -- Ctrl+Alt+u removes all table borders); go into Table Properties / Options and turn off the "autosize" function. Turn on show/hide and put your cursor in the 2nd cell of the table. Press Ctrl+F9 and type "MERGEFIELD Text" (without the quotes) between the curved braces. Now, copy that field and paste it into the 4th cell. Save this as your main document. Without closing the document, go to Tools / Mail Merge and click Create / Catalog / Active Document. Then click on Get Data / Open Data Source and open your BookletData.doc file. Then click on Merge. It may need tweaking, but it will work.

Interesting approach Karen. Mine was a little more complex in that I was setting up for double sided printing, so a page had 2 text boxes which might be say pages 1 & 12. On the reverse would be 3 & 11, or something like that. I must admit I hadn't thought about doing a merge. Might even revisit mine. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>

Re: Printing 2 copies per page (Word 2k SR-1 on Win98SE)

I have just printed my second book using much the same format as you describe. My pages are 8.5 x 5.5 so I print two copies on one 8.5 x 11 sheet (landscape) instead of 8.5 x 14. I have found the easiest way is to specify printing two pages per sheet and set the printer to print 2 copies of each page, not collated. One one printer, I only needed to specify 2 copies of each page and on another printer, I had to specify the pages to print like this:
    1,1,3,3,5,5,7,7, etc.

Then turn the pages over and print 2,2,4,4,6,6,8,8, etc.

I was using Word 2000. I used the same format with the covers and when I was finished I cut the pages right down the middle and ended up with 2 complete books which were then bound by a local print shop with a coil binding. It worked out great.

    Good Luck,

    Ruth

Hi again. Maybe I should have included the Page set-up settings. If you don't already have these set up try this:
    File menu > Page set-up

Layout tab > Different Odd and Even

    Paper Size tab: legal 8.5 x 14 > Orientation > landscape

Margins tab > Put a check mark in '2 Pages Per Sheet' and set margins to Top .5 Bottom .6 Left .7 Right .5

Then save the document as a template and try it out with some dummy text and print a sample copy to see if you like how it looks.

Re: Printing 2 copies per page (Word 2k SR-1 on Win98SE)

Wait, wait, wait! Everyone honed in on my use of the word "booklet." I think this is even more simple than what you all are talking about...

The booklet needs to be single-sided.
    Landscape legal.
    1 1
    2 2
    3 3
(those are each separate sheets of paper, no double-sided printing)
We would then cut the legal paper right down the middle.

Because of the constant editing by other (less Word knowledgable) people, I don't think a Merge would be a good option. There must be a print-setting combination...

Ruth, thanks for the idea...I have to fiddle a bit, but this seems to be the right direction.

Is there any way to replicate the 1,1,2,2,3,3,4,4,... page printing without typing that? The booklet is over 200 pages. Eek <img src=/S/hairout.gif border=0 alt=hairout width=31 height=23>

    Try this:
In the Print dialog box, instead of 1,1,2,2,etc. specify the number of copies to print as 2 but make sure the Collate box is UNchecked.

Also, make sure that in Page Setup you have specified '2 Pages Per Sheet' on the Margins tab.

    'Luck,

Ug. You'd think unchecking the Collate box would work, but it doesn't. I have an HP 882C (color deskjet) and an HP Laserjet 3150 (multi-purpose). Both print the same way, whether I have the Collate checked or not. I end up with one sheet with pages 1 and 2, a second sheet with pages 1 and 2, a third sheet with 3 and 4, etc.. Thanks for your help. Any ideas what might be wrong on my end?

Re: Printing 2 copies per page (Word 2k SR-1 on Win98SE)

I have run into this before on other printers. I don't know why or how to fix it, either. I had a 100-page book printed at Mail Boxes Etc and they had a huge, expensive bloody Xerox thing that did the same thing: printed 1,2,1,2,3,4,3,4, even when I gave it the same settings as my Canon and HP at home. It's something to do with the printer drivers and Word. Everyone tells me Pagemaker is the way to go but for some reason, I'm stuck on Word. I love it.

Anyway, back to your problem. The only way I have been able to figure out the page numbering in your (& Mail Boxes Etc) situation, is to do the 1,1,2,2,3,3,4,4... thing. It's cumbersome, but It's the best I can come up with so far. The good part about it is that if you number the pages like that, you should be able to check the "Collate" box and enter multiple copies. It will print the books, collated, and then you can slice them down the middle and end up with twice the number of copies.

I'm not a Word pro or anything like that...just someone who has dealt with the same situation you have. Let me know how it goes, OK?
