    Form Fields from 2003 in 2007 (2003 - 2007)

    Our users have just converted to Office 2007. They had lots of templates with form fields that are saved as .dot. These templates also have protection on them

    When they are trying to use these templates sometimes, the tab between them won't work and when they send it to print the fields become "empty" again and it prints them as blank.

    Any ideas why this could be so? i have tried to replicate it on my computer but I can't.

    The users often open the template so the .dot file is opened and not a copy of the letter (I know - its to do with the fact these files are saved on the network). I have even tried this method on my computer and it worked ok.

    I have a local install of office where as they have a managed version of office.

    But any ideas would be gratefully recieved

    This could be difficult to track down...

    Data normally is lost only if the form is unprotected and then re-protected. Do the templates contain any code that unprotects and re-protects the forms? Spell-check macros and some others used this technique. I wonder whether this could be causing problems in Word 2007?

    Could it be related to the optional setting for "Update Fields before Printing"? I certainly wouldn't expect it to happen this way but it might be worth checking first.
    In Word 2007 this is found at... Office Button > Word Options > Display > Printing Options

    Another possibility is that the affected machines have some other code executing at print time. Do they have any add-ins active?

    I think that has sorted it thank you.

    They have notes telling them to protect the document again before printing (just in case). There are no add-ins as such (except PDF addin which I have and din't get that problem)

    Hi Michelle,

    If the templates are already protected, as you say, the notes are misleading.

    To 'protect the document' again, the user would have to first unprotect it; it's this process that's re-setting the formfields. There is a method for re-protecting that preserves the formfield contents, but that involves the use of a macro. In any event, the forms should only be unprotected if the text around the formfields needs editing; and that's best done before the formfields are filled in (after the protection has been re-applied).

    Have you solved the problem of the users opening the dot rather than a new document based on the dot?

    This could be resolved in a couple of different ways depending on how the users open the template - and you would need to explain the exact way that people are opening the template. Perhaps this is a way to solve the problem <post:=292,438>post 292,438</post:>

    Hi, yes thank you

    They have been told to use New from Existing from the office button and new - so they are only ever opening a copy now.

    The issue was update fields before printing. A lot of our issues are caused by those people who think they know more than they do, think they are the fountain of all knowledge and get people to ask them rather than IT and tell them to do stuff they shouldn't!

    Hi

    The templates where protected using office 2003 or XP (I suspect some of the files were originally Word Perfect documents) for some reason in Office 2007, when they open the document they have to protect, unprotect and then protect again.

    This is only an issue on those occasional templates they have to make minor changes to the standard text.
