    Paste Unformatted Text (2003/sp2)

    Hi,

    Can anyone help reassure me that I am not making things up with regards to the Paste Special/Unformatted Text option?

    Where users have wanted to copy text from one document to another, but they did not want to carry over numbering styles, it has always been our policy to advise:

    * Copy the text in question;
    * Go to your new document;
    * Paste Special, Unformatted Text (where the text would appear simply as normal text with no formatting, numbering etc);
    * Apply the required (in-house) numbering styles.

    Now, however, I find all of a sudden that when carrying out paste special/unformatted text, a hard-coded number appears along with the text??? I am absolutely sure this never used to be the case. I have gone back to previous version of normal.dot, have tested on a fresh install of Office 2003 without any SPs and keep getting the same results.

    Has anyone else experienced this? Am I finally beginning to lose my mind??!!

    Thank you, I thought so. I had also considered that perhaps a change had been applied to Office/Word via a Windows Update but our Network Administrator maintains that that hasn't happened. I will have a look at the article you have referenced - I recall looking at it quite some time ago for other issues.

    I think the number comes over if you select an entire numbered paragraph, but not if you omit the trailing paragraph mark.

    My bad - I didn't read the question carefully enough. <img src=/S/sorry.gif border=0 alt=sorry width=15 height=15>

    Word does indeed convert automatic numbering to hard-coded numbering when pasting entire paragraphs as unformatted text.

    Hi there,

    I'm glad to see that I am not alone with this problem!! I'm certain that we have seen a change with this behaviour recently as well and have looked through our documentation to see what we have been advising and I can see no mention of removing the numbering styles prior to copying and pasting..I'm absolutely certain that the numbering was removed as part of the paste unformatted text, and had really started to think I was losing it!

    So I guess that this begs the question - if it is not longer working, and if this is by design, is there a way that this behaviour can be forced to happen? A setting that I am missing, a registry entry that makes all the difference?? Anything!!

    I don't think it's new behavior - see for example the end of the newsgroup thread Retain numbering when extracted from list.
    And I don't think you can change it, so you'll have to use one of Andrew Lockton's suggestions.

    This sounds like normal behaviour to me. I have been aware of this for a long time with versions of Word stretching back to Word 97 and am surprised to hear that Hans has not encountered it before.

    Perhaps there is a setting in the options for Word that turns this behaviour off but it is something I have seen regularly.

    I would suggest that you add a step in before the copy to remove automatic numbers first OR add a macro at the end like the one in <post#=212,607>post 212,607</post#>

    My own method for copying text from other Word sources is to:
    1. Select text to be copied
    2. Press Ctrl-Q and Ctrl-Space to remove any local formatting
    2a. Change the style to Normal (Only if the source has lots of style names and I want to go through every paragraph and restyle it)
    3. Copy
    4. Go to target and Paste

    This avoids the need to reconstitute tables, reinsert graphics and possibly even restyle the content. If the source has forced page breaks then I might also run a search and replace to remove these but this can be done after the paste. Paste Special is generally too extreme for me so I wouldn't recommend it as the only way to bring in content but there are certainly times when it comes in very handy.
