    Outlook (MsOffice 2007 Sp1)

    My sister uses Outlook for her email. Lately she has discovered that email addresses disappear from her address book in Outlook for no reason.

    Anyone have an idea how to prevent this?

    Can you (or she) explain where they are missing from - are they no longer listed under the email address section of each Contact record, or are they missing from somewhere else, and if so can you describe exactly where they are missing from? Also, can you confirm that this is a standalone Outlook client not using Exchange Server?

    John, they are missing from the contacts list. The email address is no longer listed in the contacts list.
    It is a stand alone Outlook. Not using exchange server.

    Libbie, I don't know of any circumstances where email addresses would be deleted from a valid contract record unless the user actively deleted them. An entire Contact record can become corrupted (that is very rare), or a filter can be applied that hides certain contacts, but in that situation the entire contact is hidden, not just the email addresses. Email addresses can disappear from other views, so what I'd like to understand better is what you (or she) means by a "contact list".

    In case she is referring to the little AutoComplete drop-down that appears when you start typing an address in a message, this list is stored in a completely separate file known as the nickname file. As more items are added to the nickname file, some expected entries may no longer appear in the "top X matches" that Outlook presents. How Outlook chooses the best matches from this file is a bit mysterious... I'm not sure it's documented anywhere. Also, the file can become corrupted. So this would be quite different from losing contacts from the Contacts Folder or the Address Book dialog.

    I also have not read of anything where Outlook just lost contacts. Did she switch from an address view to a category (or some other filtered) view?

    That's my guess, but I think we need more specifics.

    To add a note to your explanation, at least through Excel 2003 the nicknames files only carried about 1,000 most recently used addresses, so old addresses can fall out of the file if a lot of addresses are in use. I don't know if that limit still applies to Outlook 2007.

    NK2 limit in Outlook 2007 in Outlook New Users says 1000 is still the limit in Outlook 2007.
