    Report Grouping (2007)

I'm putting together a report. I have the table I want to use and have selected fields from it for the header.

I want to create a grouping setup, but when I go to Format / Group and Sort, then at the page bottom, the "Add a Group / Add a Sort" shows no fields to select from.

    What have I forgotten?

    Regards,
    Chuck Billow

Have you set the record source of the report to the relevant table (or query)?

    Hans:

I THNINK I found it. It's on the Property Sheet, on the data tab.

    CB

    --------------------

Hans, if I go to Add Existing Fields, and click "Show only Records In the Current Source", there's nothing, so, the answer to your question is "No."

But then how come I could pick header fields etc.?

How/where do I se the record source?

    Regards,
    Chuck

Open the report in design view.
Press F4 to open/activate the Properties sheet.
Activate the Data tab of the Properties sheet.
The Record Source is the first property in this tab.

Usually when you start the process of creating a report, the first step is to select the record source.

But if you look at the Properties of the Report itself, on the Data Tab, you can set the Record Source.

    John/Hans:

    "Press F4..." did it. Thanks.

Why don't I remember having to do that before? And how come the fields are there for selecting when I don't go "From RecordSource Only"? It is constructing it's own query?

You may not have had to do it before. If you start the report building process with the Report Wizard, then step one is to identify the Source. In this case Access set the Record Source for you.

If you start with a Blank Report then you would need to set it yourself.

There situations where Access creates queries for you when you identify the data for a report. But these are not saved queries that can been seen in the Navigation Bar. Instead they are saved as an
SQL string in the record source of the report.

    John

    John:

Yeah, I came across that on the Data tab of the Report Properties.

Every time I pat myself on the back something else pops up.

    Ah me...

    Chuck
