    Resource Scheduling (Outlook XP)

    Like most organizations, we have several 'Resources', which we have set up in Outlook/Exchange. We have set the Calendar Resource Scheduling Options to 'Automatically Accept Meeting Requests and process cancellations' and 'Automatically Decline Conflicting Meeting Requests'.

    However, Outlook doesn't seem to be managing these as it should, because conflicting meetings ARE being accepted, and the Appointments are not being moved from the InBox.

    For example, we have a Recurring Meeting which was set up in April, next occurence 11 September @ 2:00, and Outlook has put another meeting, sent 30 August, alongside this meeting.

    Is this a bug in Outlook, or are there some 'special' settings that have to be set-up? E.g., does the Resource have to be Author and a Delegate Owner or something specific like this?

    I'd appreciate any feedback, 'cause it is obviously worrying that we can have dual bookings organized, as this could cause embarrassment (because people believe their meeting has been accepted as they're not getting a declined message from the Resource).

    in tools > options > calendar button > resource button, you have the options that control this checked, correct?

    also, they are only processed when outlook is open- so you do need to use delgates. for more on this, see:

    Yes, all the Calendar Resource Check Boxes are checked (the top 2) as appropriate.

    Is it just me, or is having to have Outlook open a bit strange? Exchange is on constantly, so Exchange (should be able to check the Resources' Calendars). Is it just that Outlook has the technology to 'tell' Exchange what to do? Does Exchange 2000 fix this oversight? (We are on 5.5).

    only outlook has the technology to tell exchange - and no, exchange 2000 doesn't change things. the reasoning for outlook handling the requests is if the user never opens outlook, exchange would be accepting things they never were aware of.

    Brian,
    we've had similar problems with Outlook97. As opposed to accepting conflicting appointments, Outlook doesn't respond at all to requests for conflicting appointments. In fact, it doesn't always respond even when there is no conflict. See my post #52526. It doesn't sound like XP handles resource accounts much better than '97.
