    Problem with Styles - Word 2000 SR2 (Word 2000 SR2)

    We use a standard set of heading styles in my organisation using Outline Numbering as this -

    1.(tab) Heading 1
    1.1. (tab) Heading 2
    1.1.1. (tab) Heading 3
    text below Heading 3 Normal style

    We recently received a document prepared by others and need to reformat it into our usual style but with one change - we need to also have a Heading 4 style (but this style not to include numbering - but be indexed for the table of contents)

    We are having amazing difficulties even though we started a new document based on our corporate style template then copied the text into the new document. For example the Heading 2 style resolutely refuses to follow Heading 1 so that the numbering becomes -

    1. Heading 1 - 1
    1.2. Heading 2 - 1A
    1.3. Heading 2 - 1B etc
    2. Heading 1 - 2
    1.2. Heading 2 - 2A
    1.3. Heading 2 - 2B etc.

    In the styles numbering window for Heading 2 the selection "Previous Level Number" is white and selecting Level 1 whilst available will not stick.

    Moreover when I try to change the default Heading 4 style the formatting for all the lower number Heading styles goes haywire - such as Heading 2 becoming 1.A

    I do all the changes in the Format Styles window as I think is correct, but it just seems that nothing I do will allow me to get the numbering to operate as it should.

    Can anyone please suggest what I can do to get this to work as it should??

    When you "copy it into the template", are you pasting it as plain text or just pasting it? Just pasting will bring styles from the other document into yours.

    Have you tried "repairing" the styles, and if so, how? You need to use Format-Bullets and numbering; don't bother trying to format the styles.

    Have you tried using the format painter? I've found this to be one of the best ways to fix numbering problems.

    At our law firm, the best way we've found to deal with misbehaving styles such as you describe is to go to Format | Style and delete the troublesome styles from the style window. That changes the paragraphs that formerly had those styles to Normal. Then click on Format | Theme | Style Gallery and click on the template that has your Heading styles in it. That inserts those styles into your document. From that point, you should be able to adjust your Heading styles as needed, add the new style, and you're good to go.

    Can you provide an example of this problem? I troubleshoot outline numbering problems often in our environment but need to see what you're dealing with. When I adjust numbered styles, I ALWAYS go through Style|Format|Modify|Numbering|Customize from the FIRST level style in the series - NEVER through Format | Bullets & Numbering and NEVER adjust the styles from any style other than the first level style.     You are running into a problem with numbering list templates and "spaghetti numbering."     Dear Dreamboat,

    First please accept my apologies for the excessive delay in responding. My ISP went down and I only received your response finally today.

    We did just copy and paste as Word text so your explanation that the styles came over from the other document makes sense.

    I tried repairing the styles in Format / Styles but as I said attempting to fix one heading style immediately mucked up another.

    In the meantime we have been experimenting with anything I could think of and did find that the source of the problem seemed to be an Annex at the end of the document which was created by a different person in Germany, then sent to the previous author in the UK, so presumably we finished up with some German language stuff mixed up. In the end we tried editing the rest of the document without the Annex and eventually, after a couple of copy and past to new documents we got it sorted out, then added the Annex back in and it seems to be more or less stable. Still working on it.

    Yes have used the format painter - and I agree it is a most useful device. But did not help in this case.

    Yes, I always work in Format / Styles / Format / Modify / Numbering also - I did not explain that - never occured to me to us the Format /Bullets and Numbering I must admit.

    As I said in response to others we think that one of the Annexes which was created in Germany and then sent to the previous author in the UK is the source of much of our problems.

    Very glad to send you a copy of the document as we received it and will be most grateful for your suggestions as my work is international and frequently I have to work with documents prepared by others..
