    Hi mithoo,

    Welcome to the Lounge.

    You can use Word's Catalogue/Directory Mailmerge facility for this (the terminolgy depends on the Word version).

    To see how, check out my Word 97-2007 Catalogue/Directory Mailmerge Tutorial.

    Hi mithoo,

    That suggests you're using an ordinary 'Letter' merge, not a 'Directory' or 'Catalog' merge.

    the codes that i m using are as below (example copied from microsoft)

    City Employee Sales
    Atlanta Galos $3,000
    Atlanta Delaney $50,000
    Atlanta Henningsen $10,000
    Houston Johnson $8,000
    Houston Kelly $9,000
    Houston Pak $0

    { IF { MERGESEQ } = "1" "{ MERGEFIELD CITY }
    " "" }{ SET Place1 { MERGEFIELD CITY }}
    { If { Place2 } <> { Place1 }"
    { MERGEFIELD CITY }

    { MERGEFIELD EMPLOYEE } { MERGEFIELD SALES }" "{ MERGEFIELD EMPLOYEE } { MERGEFIELD SALES }" }{ SET Place2 { MERGEFIELD CITY }}

    it gives me key and one record not all records related to the key.

    Hi mithoo,

    Did you read my Word 97-2007 Catalogue/Directory Mailmerge Tutorial and try the working examples in it? Compared to the MS coding, the equivalent coding in my tutorial is simpler and works better with Excel data sources.
