    We were editing a document with Tracked Changes turned on. We wanted to be able to track under another name, so we changed the User Information to another name. This seemed to work in the document. Edits showed the new author's name and were a different color. The problem occurred when we saved the file. All the changes are now displayed as Author.

    Two questions:

    Is there anyway to get the real authors' names back?

    Is there a way to make the changes under a different author's name on the same computer? Basically to have the secretary make everyone's changes, but have the authors all displayed in the tracking.

    This is a pretty ancient recollection, but I did use the trick you describe a few times using Word 97 and Word 2000. It did work but didn't seem too reliable. For one thing, if the document or Word crashed at any point, all of the different names would revert to Author (and all of the revisions would change to one color) - and once that happened, there was no way to get the different author names back.

    Don't know if this would help, but if you are going to use this trick again, it might be a good idea to save and close the document (and possibly quit and relaunch Word too) every time you're going to switch author name via User Information. And keeping a backup of each version wouldn't hurt either!

    I guess, since all the edits display Author, we are out of luck trying to get the authors' names back.

    We will try your suggestion about saving between User Information changes and see it that works.

    1. No, not automatically. Note that remove personal information, a W2003 feature, must have been activated for the file. In W2007, go to the privacy options and remove the check box before "Remove personal information from file on save". I don't remember where the menu is that allows you to change this setting in W2003.

    2. Yes, use a different user name and initials for each reviewer's changes. But clear that check box before you begin and save often.

    We did find that the "Remove personal information from file on save" box was checked. We removed the check and continued to edit by changing the user information, which seems to work.
