Print certain pages in multi-section doc (Word 2000 SR1)

I think an answer has been provided to the below query but I wouldn't remember when and what it was, so here goes.

I received a 25 page document, where I only wanted to print pages 14-25; page 14 was determined as the starting point by going to the first page I wanted to print and noticing the page number on the Word status bar - 14/25 (I didn't notice the other info that said Sec 2, Page 1). I went thru the print dialog to select those pages, hit OK, and nothing happened. Tried again, same result.

Then I noticed there was a "Section break - next page" at the end of the material on page 13. When I removed that and just put in a "New Page" break, I was able to print pages 14-25. So I guess 14-25 in a 2 section document means nothing when each section has less than 14 pages (13 and 12 in my case).

    So a few questions:
    1. Has this been explained, with any possible workarounds, in any past threads? If so, pls point me at them.

    If not:
    2. Is the above behavior correct or was there something I could have done? For example, I don't see how to tell Word that it's pages 1-12 in Sec 2 that I want (altho I recall some macros somewhere that may have done this).
    3. What versions of Word Is the above behavior true for? (Maybe a reason for upgrading to XP?)

    Thanks,

    Fred

Re: Print certain pages in multi-section doc (Word 2000 SR1)

This is how Word works. Here's why:

I can create a document with 20 pages and 4 sections, 5 pages each. I can start renumbering at the beginning of each new section. This will create 4 sets of pages numbered 1 through 5.

When you print pages, Word does NOT use the sheet numbers (viewed as you describe, 14/25), it uses the PAGE numbers that you have assigned. (I believe that) By default Word will print the first instance of a page number it finds.

So, I either "print current page", or painstakingly (sometimes), use the following syntax, which is what Word wants you to do:

In my 4-section document, to print Page 3 of Section 2, (which is actually the 8th sheet of my document), I need to type:

    p3s2

If I want to print Page 3 of section 2 THROUGH Page 5 of section 3:

    p3s25s3

If I want to print Page 3 of section 2 AND Page 5 of section 3:

    p3s2,p5s3

You can use these codes in Edit-GoTo (ctrl-g) as well.

To print just one section (or go to the beginning of a section), use:

    s3

To my knowledge, this has been with Word throughout all versions.

Re: Print certain pages in multi-section doc (Word 2000 SR1)

    Thanks much for the explanation.

One of the questions I forgot to ask in the first posting was if I asked for pages 1-10 in my document (where s1 had 13 pages and s2 had 12 pages), would I get 1-10 of both sections? I assume the answer is that I'd get 1-10 of the current section based on where the insertion point is.

I did know about being able to restart numbering a section from page 1. I do sometimes use that (eg, table of contents and document) but I usually print the entire doc. This was the first time I printed select pgs from a multi-sec document and got bit. Of course, in this case, the pages were consecutively numbered across sections.

So perhaps this is another item to add to the list of things to beware of when using section breaks. In my case, there did not appear to be any good reason to use a "Section break - new page" as opposed to just a "new page break".

Also I noticed your syntax for printing pages across a section used a : whereas Help uses the dash, which is what I would have expected. I'll stick with the latter for the next time, now that I know (this is the first time this has come up in about 10 yrs of using Word so you can guess when it'll happen again).

LOL, fburg. I used to print all the time. Now, I'm a troubleshooter, not a user. Frankly, I forget all the little stuff and now that you say it's a dash, I say to myself "Of course it is!"

Your first guess was correct: If there are two sections containing pages numbered 1-10 or more, and you ask to print 1-10, then you will get 20 pages, 10 from each section. <img src=/S/hairout.gif border=0 alt=hairout width=31 height=23>
