Re: Disappearing drop-down list selections (2000/SR-1)

Hi Ruth:

You're not doing anything wrong. When you protect a form, the formfield is reset & all data is lost. You can prevent this from happening to a text form field by locking the field (Ctrl+F11) before reprotecting it. However, you can't prevent drop down & checkbox fields from resetting using this method.

The only way to prevent this from happening is to change the commands with a macro or provide a separate macro for users to protect the form without resetting the fields.

I use this macro from Cindy Meister's home page at http://homepage.swissonline.net/cind...r/FormFram.htm:

Sub ToggleFormProtect()
If ActiveDocument.ProtectionType = wdNoProtection Then
ActiveDocument.Protect Type:=wdAllowOnlyFormFields, NoReset:=True
MsgBox "The document has been protected"
Else
ActiveDocument.Unprotect
MsgBox "The document is now unprotected"
End If
End Sub

If you have any questions about placing that macro in the attached template or assigning it to a toolbar button or shortcut key, please post back.

Hope this helps.

Phil -

The macro is just what I've been looking for. So many times, people in other offices have called me because they reprotect document and loose everything they have put in. Now I have to figure out how to add it to a toolbar to keep it with template.

Thanks, Leanne

Hi Leanne:

To add the macro to a toolbar, after you've created it:
1) choose Tools/Customize...commands tab
2) In catagories, scroll to macros
3) On the right-hand side, scroll to your macro (probably starts "TemplateProject.NewMacros.& then the macro name")
4. Drag it to your toolbar & give it a shortname.

That should do it. Hope this helps.

Re: Disappearing drop-down list selections (2000/SR-1)

Hi Phil -

I did get it added to my toolbar right after I read the post thi morning, tried it out on one of my templates and it works GREAT. Then I made the decision not to include it as a toolbar on our office templates for 700+ employees. I realize it would be nice for some people, but another toolbar popping up on someone's screen, well...is it worth all the calls I'd get asking what it's for? I don't think so. Until someone calls me with a question as to why they lost everything, I'll keep the gem to myself.

Thanks again,
Leanne

Hi Leanne:

Just for your information, you can substitute some macros for basic word commands without your users even being aware of it. See this Knowledge Base article for instructions on how to modify the Tools/Protect & Unprotect menu option & the button on the forms toolbar, so users won't ever lose their data.

Hope this helps.

Re: Disappearing drop-down list selections (2000/SR-1)

Thanks Phil. I just made the areas where typing will be done, form fields. That seems to work. I am macro challenged, so I usually like to find other ways of doing things!
Thanks again for your help.
