    Check Boxes (MS Word 2000 SR-1)

    Hi there

    I have received a document which has check boxes inserted into it. To check the check box, i.e. place a cross in it, I right click on the check box, select properties and then choose checked. Is there are quicker way of doing this so that a user has a simple method of checking and unchecking the box wihout having to go through the routine of right clicking and selecting the Checked option.

    You can insert check boxes using form fields from the forms toolbar. Then you need to protect the document using Tools->Protect document. The user can then click the box to check it, but can't do any editing of the document apart from filling in form fields, unless it is unprotected.

    These check boxes are formfields inserted using the Forms toolbar. For them to work properly they need to be in a locked or "protected" section of a document. Protecting a section keeps the user from making any changes except in form fields and activates those fields so that they behave in ways that make the typist's job easier (at least in theory).

    You can also insert checkboxes like those in the FAX templates. These don't have to be in protected sections. See <A target="_blank" HREF=http://addbalance.com/word/download/index.htm> my Checkbox template</A> for an examination of how these work and how to make them work for you.

    Thanks for the advice. I did that and yes it worked. I then passed this information onto the required user and I got this response.

    'once you lock the attached document as per your instructions you are not then able then to type in text. I though this would be overcome by putting in section breaks, alas no good, any suggestions. Am I missing something?????'

    Can you give further assistance so that we can protect part of a document that will contain the check boxes but the other sections of the document are then unprotected to allow for the inputting of information.

    Hi Billy:

    1. Put in continuous section breaks so that the parts of the document that you wish to edit are in sections that are different from those containing checkboxes.
    2. Tools/ProtectDocument... A dialog box comes up & you choose "Forms".
    3. Then you press the "Sections" button. This lets you choose which sections to protect. Protect only the sections containing checkboxes.
    4. OK your way out of the dialog boxes.

    As you tab from checkbox to checkbox, pressing spacebar will toggle the checkbox. Note that you cannot use the tab key to move from a non protected section to a protected one (use the down arrow until the first checkbox is selected). You can tab out of a protected section.

    Alternatively you could adopt a different approach entirely to generating a tick box when you want one. There are suitable ticked and crossed and empty boxes in the Wingdings font. Save them as items of autotext, make toolbar buttons for them, and click the button to get the box you want - see the attachment, now suitably adapted.

    Hi Ian:

    Good idea. Just a suggestion. When distributing such toolbar buttons, it's good to remind users to create autotext entries & then assign them to the buttons (or distribute a template with the autotext entries). Without a template containing the entries, the buttons won't do anything.

    Also, although everyone should know this, it's probably a good idea to remind people to virus check everything they download before opening it. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>

    You may want to take a look at the Checkbox template on <A target="_blank" HREF=http://www.addbalance.com/word/download/index.htm#CheckboxAddIn> my downloads page</A> (addbalance.com/word/download/index.htm). It has the AutoText entries and macros in it with suggestions on variations.
