    Checking Names In Outllook

    Why oh why can't outlook find entries in my address book?
    In OL98 or 2k in IMO:
    I enter "Kate" in a name field and it changes it to Kate Smith, even though there may be 4 other "Kate"s in my contact folders, all of which are marked to show as address books!
    Occasionally it comes up with the list of matches for me to choose, but ususally I manage to send messages to the wrong person!
    It will even choose the Kate that has no email address!!!, why doesn't it have the brains NOT to choose someone who has no email entry!!! At least it could warn me of this situation!!!!
    It seems to have a mind of its own when deciding where to look for people.
    There must be some logic to its search functions that I'm missing - surely?
    Hopefully looking for explanations!!!

    it should only choose the entries with email, although it might select it if there is a fax number.

    outlook looks thru the address books and stops looking when it reachs the end of the current book if it finds a match.

    i have no idea how to change the order in IMO, or if you can. (corp allows you to change the address book search order) this can correct weird searching as can typing in more of a name, like "kate a" if you want kate allen.

    so if you have
    contacts
    my contacts
    our contacts

    and a kate in each, it will stop when it finds kate in the first one. If 3 bill's are in the last one, it will search and display all 3 for you to choose from.

    *the first time* after that, it'll assume you want the bill you sent to last and you'll need to select a different bill from the right click menu.

    I'm developing my own theory/guess that IMO also starts in the default folder, or the currently open folder? and if it finds only one match then thats what you get. Only if multiple matches are in the same folder are they displayed to choose.
    It also appears that it starts search in the oldest folders and works through to the newest. The addressbook doesn't seem to sort the folders in the same order that the contacts folders do. So having changed jobs, the dam thing goes to my oldjob contacts first. I'm gonna try making a new folder for them and moving them so my latest contacts are in the oldest folder!!! DOH

    Another question related to this.

    How do you get Outlook to stop looking for fax numbers when trying to resolve names?

    When it finds names in Contacts it always ask me if I want to send to the email adress or the fax number.

    you can't, except by putting fax numbers in a different field.
