Copying building blocks to another user

    Hi there

I have created a number of building blocks that I can insert into my emails. Now my colleagues are envious and they want to use the same building blocks in their emails.

When I saved the building blocks in Quick Parts, I only had the option to save them in one place (NormalEmail) - not like Word where you have some options. I've had a look and I can see where NormalEmail is saved, but I don't know what else is in this file so I assume it's not just a case of copying this file to my colleagues' computers (and over-riding their version of the NormalEmail file).

It seems odd that I can't export them easily and share them.

    Any ideas??

See if Backup and Restore Quick Parts helps.

    Hi Joe
Thanks for this. I did look at this post initially but I was concerned that over-riding their NormalEmail file might cause them problems. I guess the best way to find out is to back their NormalEmail file up, copy mine to their computer, and see what happens!

You can't easily share or export quick parts. The suggestions I've seen are to create specific templates for the various quick parts. Then the templates can be copied without impacting the NormalEmail.dotm file.

Thanks (again) Joe. Funnily enough, I was playing around with Outlook templates earlier this morning for the first time. They will indeed do the job, but there are pros and cons of both options.

While the template option will mean that (provided we can save them to a network drive), we'll all pick up any changes to the email wording (without having to manually recreate a building block), it does mean they'd have to manually add their signature (I've just tested it and Outlook won't automatically insert a signature to an email generated from a template).

Thanks for your help. I shall ponder which is the best option.
