Format paragraphs THIS section only (Word97 and on)

As far as I can see in Word97SR2 there is no provision for changing the formatting of paragraphs, but restricting it to a single section.

Example: I produce a document with a Preamble and Notes. At the start of the Notes text I format as 2 columns "from this point forward". I now have two sections. The first section contains the 1-column formatted Preamble, the second section contains the 2-column formatted Notes.

I'd like, some place in the second section, to choose Format, Style, Modify, Paragraph etc and ask for Justified alignment, but only in this section.

The only way I can see to effect this right now is to break the task into (1) select all text in this section and (2) use local Paragraph Formatting (Format, Paragraph, ...). There is, as far as I know, an easy way to select all the text in a section. One can GoTo a section, but can't Select a section.

I will most probably satisfy myself for the time being by implementing a simple macro to "select all text in the current section", after which I can do what I will.

Unless I'm sorely mistaken, styles are document wide, which means you can't modify a style for a particular section. In that situation, this is what I'd do...

Create a second style (Style2) based on your first style (Style1) except add justification to Style 2.
Place your cursor at the beginning of your second section (the section where you want to change the formatting).
Do an Edit| Replace and click the "more" button to add the additional options.
Place your curstor in the "Find What" field and make sure it is blank (i.e., no spaces typed in there)
Click the Format button and choose Style, then select Style 1.
(This tells the edit/replace to look for text with your Style1 applied)
Click your cursor into the "Replace with" field and again make sure it is empty.
Click the Format button and choose Style, then select Style 2.
On the "Search" field, be sure to select "down" (so that it only searches from that point forward in your document).
If your section 2 is the LAST section in your document, then click Replace All. Otherwise, click Replace and keep clicking that until you get to the end of your section 2.

    Hope that helps...

    >styles are document wide,

Correct. I think that modifying a style is but one example. I was struck by the application of sections. Sections are used in File, PageSetup, Format, Columns, and a few other places, where they are effective as a document-within-a-documment. Having defned a section, I can then localise SOME formatting within that section, but not ALL formatting. page layout can be localised, style definition or local formatting generally cannot.

If I go ahead with this, it's going to be a toolbar button on my Normal.dot that selects the current section.

Not exactly what you want, but you can have a section be a separate document and insert that document as a Word Object. That way it contains its own style definitions.

    > a section be a separate document and insert that document

Good Ploy. I think that would be a solution for all cases of formatting or layout. My toolbar button ("Select Section For Formatting") could detect if the section is an included/linked chunk, and if not, create the source object on-the-fly and link to it).

Re: Format paragraphs THIS section only (Word97 and on)

    Chris -

You have to understand something about the object model upon which Word is built when trying to see what formatting can be specific to a section and what formatting can't. A section is an object within Word, and as such, has properties. Among those properties are settings found within File/Page Setup, such as margins, page size and orientation, line numbering, and headers and footers (including page numbering). As you have noticed, column formatting is also a section property. All of these properties are specific to a section of the document and can be changed when you create a new section.
The document is also an object in Word and also has properties. Among these is the collection of styles. The style list is specific to a document (or to a template) and can only be changed when you create a new document.
Other objects in Word include paragraphs and characters, and they each have their own set of properties as well, which cannot be changed unless you create a new paragraph or a new character. As an example, in an earlier post today, I mentioned that Keep With Next and Keep Lines Together formatting are often misunderstood. They are both paragraph properties and as such, apply to an entire paragraph. I have had users say to me, "But I selected the first two lines of the paragraph and applied Keep Lines Together", expecting it to work as Word Perfect's Conditional End of Page formatting, which it doesn't. Because of the object structure of Word, a paragraph property can only apply to a full paragraph.
I have found that understanding the object model of Word really opens the door to understanding how to use Word effectively. Once you begin to understand this structure, you begin to see that Word functions pretty logically. If you don't understand the structure, it can be terribly confusing. I remember the first time I tried to change page numbering in a multi-section document. I thought I was going to commit murder before I was through - I didn't have a clue as to how sections worked. That experience has certainly helped my patience when dealing with confused users. <img src=/S/angel.gif border=0 alt=angel width=15 height=21>

In further words, if the collection of styles had been assigned to a section object, rather than a document object, I'd have been happy in my original request, but no doubt desperately unhappy in other areas!

Lee, thanks for the illustrative reply,
