    Remove Section Break - Loose Headers / Footers (Word 2000 SR1)

    In my organisation we frequently need to add Annexes to Word documents during the drafting stage then remove them when the document is final. The Annex gets a different header and footer during this process to identify it.

    We find that if we delete the contents of the Annex then delete the Section break, the headers and footers in the remaining part of the document are lost. If we do not delete the contents of the Annex, and delete the Section Break first, the headers and footers in the document itself are lost and replaced by the header and footer of the Annex, which is of course what we do not want.

    This crazy anti-intuitive behaviour is not only annoying but wastes time in the need to reconstruct the correct headers and footers in the final document.

    Is there a way of forcing Word to keep the headers and footers in the main document when later Sections are removed?

    Hi Noel:
    I agree that section breaks are anti-intuitive. When you insert a section break, it controls the page formatting of what goes before; i.e. the section break is at the end of the section it controls. Furthermore, the last paragraph mark in the document is an implied section break.

    Here's what's happening. After you insert a section break, it controls the header/footers in what you've called the main document. The annex header/footers are controlled by the last paragraph mark in the document, which can't be deleted. After you delete the section break, the last paragraph mark now controls all header/footers.

    Here's the solution. Before deleting the annex & it's section breaks, put the cursor in the annex header & footer (View/Header & Footer). Then click the button on the header/footer toolbar that says "same as previous". Word will ask you if you want to delete this header/footer & connect to the previous one. Answer yes. Do the same thing with the annex footer.

    Now you can delete the annex & it's section break.

    Phil,

    This is a great tip regarding the contents of the headers/footers, but it does seem to have the following limitation, at least when I try it - can you confirm?:

    I created a new document and put a few words into the header ("this is section 1").
    Then I inserted a next page section break.
    In the header of this new section, I turned off "Same as Previous" and inserted some different text ("this is section 2").
    Then I went to File>Properties and made Section 2 landscape.

    The test then was to see what happens if I delete the section break.
    As expected, if I simply delete the section break, I end up with a one-page, one-section document again. The page orientation is landscape and the header text says "this is section 2".

    Then I set up the original conditions, but this time use the "delete this header/connect to previous one" trick. As expected, the text in the section 2 header now says "This is section 1"
    Here's the problem part: when I then delete the section break, I'm back to a one-page, one-section document, but the page setup is landscape! So it looks like section 1 still inherited the page layout information that was stored in section 2 (in the last paragraph mark in the document), when the section break was deleted.

    How do we get around this one?

    You may also notice the margins/gutter etc of the last section flooded back through as well when the section break is deleted.

    You either need to create an occurrence of each type of header and footer in the document for the last couple of sections and then link them all (6 in total) and also bring the page setups from the second last section into the last section before deleting the section break.

    To link headers/footers where the second or third page doesn't exist - insert page breaks.

    Hi Gary:
    My original solution was only for header/footers. To delete the "last" section break in the document, you must
    1. Put the cursor in the next to last section
    2. Go to File/Page Setup..., & click OK (no need to make changes)
    3. Put the cursor in the last section
    4. Press F4
    5. Then delete the section break.

    This will "copy" all the formatting of the next to the last section to the last one before deleting it. I put the "last" section break in quotes, because the last section break is really the last paragraph mark, which can't be deleted.

    There are some additional formats that aren't copied from the Page Setup dialog box & you can repeat those steps in the Borders & Shading box, & the columns box. I'm working on a more complete answer & will post it when I get the chance.
