    Mail Merge (A97 SR2)

    I have a database where donation's are logged in a batch before balancing and posting to the system.
    Once the daily total has balanced, thank you letters need to be generated. These already exist as word mailmerge docs. At the moment the letters are generated by clicking a button after each donation has been logged. I want to change this so that the batch of donation letters is printed after all donation's for that day have been logged. There is a reference number for each letter stored with the donation record.
    The donation's are batched in a temporary table which is cleared out then the total balances.
    What's the best way to read through each record, open the relevant mail merge doc, populate the doc, print it AND then go to the next record.

    I have a few similar donation type databases and this method prints all the letters at once ... If you have all these records in a temporary table, use that table as the source for the mail merge. Place your mail merge code on a button click event that refers to this temporary table (or the query that creates it). That way all the records will be printed at once, with a page break in the Word document between each record's letter.

    I have a field in the donation table that is a checkbox noting when the letters have been printed, so that they do not get selected more than once. You need to have a method for selecting only the current records you want printed, but it sounds like you all ready have a method for doing this. HTH

    The problem is that there are several letters that could be used depending on the type of donation.
    ie donation1 needs an In Memory of letter
    donation2 needs a thank you for raising the sponcer money
    donation3 needs a thank you for buying the raffel tickets letter
    etc...etc

    Is there something in the record that notes which type of letter needs to be sent? If so, you could do a series of automated mail merges: selecting the donation1 records and merging them with the In Memory letter, then the donation2 records and merging them with the Raising Sponsor Money letter and so on ...

    Would that work for you?
