    Track Changes (Word 97 SR2)

    Hi everyone, this is my first post here so hopefully you'll bear with me !!!

    I am having difficulty understanding a strange problem which happened today. One of my users has a document which he is using Track Changes on. He is using a Numbered List (I know I know ) <img src=/S/help.gif border=0 alt=help width=23 height=15>. A previous user has added a couple of paragraphs which have the para number tracked as "old number deleted" and "new number added" as expected. However, he wanted to accept these changes but keep others so was accepting them individually. However, the tracking does not clear until track changes is turned off! IT's bizarre. I just wondered if anyone had come across this before. He will want to do some more changes in the document but when he turns track changes back on all the tracking (for the numbered paras only) come back!!

    ANy help would be greatly appreciated.

    I'm a little unclear about what changes he accepted and which ones he didn't. However, I suspect that the tracking does not go away until you turn track changes off, because accepting one or more of the changes, changes all the numbers in the numbered list.
    Does that make sense?

    Oh, and just so you know. Using track changes can be a bit problematic. It stores those changes in metadata, and anyone that knows how, can then see all changes that have been made to a document.
    If you are part of a big company or a law firm, I would suggest that you look into a comparison software such as Workshare Technology's DeltaView. Or at least a metadata tool.

    Could be that the numbering is "recalculating" and therefore shows as a new change. It also could be that rather than turning tracking on and off, the user is turning the display of changes on and off (see below). I know I recently had a problem with a field in a header in print preview: on every preview, the field would update and show as a change (even though it was identical to the original!). After accepting the change in the header, I had to turn off tracking in order to print without that field update showing as a change. Maybe something here helps??

    Laura,

    Don't know if this is relevant, but there is a bug that occasionally appears(Word 97/2000) in some types of outline numbered lists when you have track changes set to show - some types of the autonumbers will show as marked for a change, even though in reality no edits where done to them. I think we saw this problem in documents that had an Article/Section etc. numbering outline. Never did find a solution but fortunately these particular attorneys were happy with DeltaView so we just made sure track changes was set to not show in these documents.

    I have once seen a document which had been "Delta'd" and it looked horrific, so I must admit I feel a bit anxious about it. Is it something you would recommend?

    It certainly looks like a recalculation and as far as I'm aware the user is keeping the "display" changes turned on. It's very annoying !! Thanks for you help.

    Laura,

    I haven't yet worked with XP so can't tell you for sure, but I do know that the track changes feature was completely rebuilt for Word 2002 so that may be the case.

    By the way with regard to your note about Delta View, if you do a search on this forum for "Delta" you'll very likely come up lots of previous discussions about DeltaView. Although it isn't perfect, I think the consensus is that it is the best option out there.
