    hyperlink limitation (Office XP)

    I have a ss with many e-mail addresses that our company can click on immediately to send an e-mail to that person from the ss. I also have set up a group to be able to send one e-mail to the group.

    There seems to be a limit to the number of e-mail addresses in a mailto: (actually a limitation in the number of characters) for hyperlinks in Excel.

    Is there a work-around for this?

    Use Insert | Name | Define to create a name that contains the email addresses of your group. Use this name in the hyperlink. HTH --Sam

    I created the name, but how do I use that name for the group? It asks for an e-mail address in the hyperlink, not a defined name.

    Sorry, I didn't try it, but now I have. Instead of using the Insert | Hyperlink menu, use the HYPERLINK function. For example, I tried =HYPERLINK(FrontOffice,"Joe Cool"), where FrontOffice was a Name that contained MailTo:sam@mtl.com

    Ooops. There is still a limit to this method!

    I had to still create an area on the ss that had each of the e-mail addresses listed and use that as the name'd area. When I got to over half way with the list, the hyperlinked named area changed from the name to error.

    If I created more than one field that contained the e-mails, I thought that was going to work, but it only brought up the last cell's e-mail and not all of them. [img]/forums/images/smilies/sad.gif[/img]

    Got any other ideas?

    I just tried using a Distribution List name in the hyperlink - i.e. mailtoLname - and that resolved OK with Outlook.

    Right, it does work, but there's a limit to the number of names in the distribution list!

    7 e-mails will work, but when I put in 8, it errors. I have a list of 14. Outlook will send it, but a hyperlink won't exist with 8 e-mails.

    At the company where I worked before I retired, we had distributiuon lists with several thousand addressees. Are you sure you have tried a distribution list?

    A distribution list from within Outlook or is that something within Excel?

    This list changes often and can not be maintained within OL, but only on the spreadsheet. I've tried assigning a name to a area, but it too reads from a hyperlink in Excel and again we are dealing with the limitation. If you tell the name to read from two cells, it only reads the last cell and not two hyperlink cells.
