    Format Painter not working (Win 98SE & Office 2k)

    I have been trying to use the Format Painter and have been unsuccessful. As per Help, I select the paragraph with the formatting I want, I click Format Painter on the Standard Toolbar, then I select or "paint" the paragraph I want to change.

    I thought that when I released the left mouse click, the changes would appear on the second paragraph. This is not happening.

    Am I doing something wrong?

    Maria, when you try to paint the format into the second para, does the mouse pointer become a paintbrush? Also make sure you highlight the whole para to receive the format, not just click inside it, as that may only change one word.

    Thanks Mike,
    Yes, the pointer becomes a paintbrush when I click on the Format Painter. I then move it down to the paragraph I want to change and hold down the mouse button while I "paint" or select the entire paragraph.

    When I let go the mouse button, the paragraph is still selected but without the format changes. When I release the mouse button the paragraph is still the same.

    What am I doing wrong?

    I have to say that I'm a bit puzzled. From what you describe you are following the correct steps so it seems strange that the paint is not working. Is it just in 1 particular document? Will the painter work when copying/pasting 1 word rather than the entire para?

    Hi Maria:
    What type of changes are you copying...i.e. are they paragraph & character formatting? What application is this not working in...or is it all?

    In Word, can you apply changes by selecting the first paragraph, pressing Ctrl+Shift+C, then select the 2nd paragraph & press Ctrl+Shift+V?

    Thanks Phil.

    I'm using Word 2000. I'm trying to learn how to use the Format Painter so I'm just trying to copy the paragraph margins.

    I tried the select, Ctrl+Shift+C and then select, Ctrl+Shift+V and that didn't work.

    Is there a simpler way to copy the margin settings? Basically, I'm just trying to learn more about Word. I realize I've been doing things the hard way because I haven't learned to apply the features available.

    There may be a problem with my installation of Office 2k. I wrote about it in 'Re: FYI: Office 2000 install error (2000)' in this forum. I think I'm still using the previous Office install.

    Hi Maria:

    First, the easiest way to have consistent formatting is to use styles, rather than manual formatting. The paragraph "margins" that you speak of are called "indents" (or outdents).

    Secondly, the format painter, however, should work. You may have a corrupt normal template, or you may have some other add-in or global template that is interferring.

    Do this:
    1. Close Word
    2. Start it from the command line: Start/Run & type

    winword.exe /a

    & press enter.

    Then open your document & try the format painter. If it doesn't work, then we need to dig much deeper. If it does, then it's what I've said above.

    3. If that works, close Word & locate normal.dot. Rename it to normal.old & restart Word.

    4. If it now works, it was a corrupt normal template; just save the new one. If you had customizations in the old one, you can copy styles, macros, autotext, shortcut keys, & toolbars.

    5. If it doesn't work. Then you need to go to your startup folders (both MS Word & MS Office) & move all the add-ins to a temporary folder. Then try it. If that fixes it, put the add-ins back, 1 at a time, until you find the culprit.

    Post back & let me know what happens.

    Oh, to answer your other question, using styles is best. Other than that, I use the two shortcut keys that I mentioned above. It's faster than Format Painter, but does the same thing.

    Hi Phil:

    1. I tried it running winword as you said below and it didn't work.
    2. Then I went to Explore and under Windows/Office/Addins, I created a new folder in the right pane and moved all the folders into it. Then I moved that folder to the desktop. Then I went into Word and discovered that I still couldn't format the changes in the paragraph but the Format Painter worked to make a heading bold like the first one. So I know now how to use the FP. I tried it again with the bold and it worked. So I know I need to learn how to use styles for the paragraph indents.
    3. I will next have to move the addins as you said. Meanwhile, I'm tempted to leave them out! How do I find out what each does?

    Hi Maria:

    Put all the add-ins back!!

    Somethings wrong. If you say you tried running winword & it didn't work, then changing the location of the add-ins shouldn't work either. Also, when you say you tried winword, are you saying you went to start/run & typed

    winword.exe /a

    You must type the exe part & the slash a (/a). It should start word without any add-ins & without your normal.dot. IF that worked, the next step was to rename normal.dot, not to remove any add-ins. If you do get to the add-ins stage, there are two startup folders. You want to remove global add-ins (the ones in the STARTUP folders). You do NOT want to move anything in a folder named add-in.

    Why don't you upload the document to the Lounge first. Let's see what you actually have. If the Format Painter copied heading formatting, it should also copy paragraph indents. If you select nothing or all the text or the paragraph mark in the first paragraph, all formatting should be copied to the second one. If you select something less than all the text in the paragraph, then only character formatting is copied.
