This is a bit of a shot in the dark, but does Auto-Summarise get you anywhere towards what you are trying to achieve? You'd probably have to set it for the longest summary practicable. HTH

    Re: Compiling Keywords in Word

I don't know how to do this in Word, but I have another language-based application that does it. If you need this as a one-time shot, I'd be happy to give you the freq distribution...otherwise, hope for a solution from someone.

    Re: Compiling Keywords in Word

If you don't care about the context, just the word count, you could throw all the words into a database table and query for the count of each. Or maybe into Excel, although I don't know enough Excel to do it. You also could use a Collection or Dictionary object in VBA, make the word the key, and as the data, keep a count of the number of instances of that key as you march through all the words in the document.

Do any of these sound like an appealing way to spend the rest of your afternoon? <img src=/S/laugh.gif border=0 alt=laugh width=15 height=15>

Here's a simplistic Excel sheet if you have Excel (2000) and think this might work per JSCHER2000's suggestion.

    Re: Compiling Keywords in Word

VBA to the rescue... Here's a simple Word macro that appends a list of the words and their counts at the end of the document. It's not terribly fast (about 300 words/sec), but it might do the trick.

    Re: Compiling Keywords in Word

    I'm not familiar with Excel...
I've just added some words to the first column.
How do you do the count? Do you have to start some macro?

BTW, my macro reads the texts from all story ranges into a string and uses Replace to eliminate one word after another. The macro is called "WordCount2" because I tried to use the Filter function first, but that proved slower than Replace.

    Re: Compiling Keywords in Word

There is a formula in the B column that finds the unique words in the A column. If you add words to the A column, you'll have to fill down the formula in the B column. You can do that by placing the mouse on the fill handle in the last cell in the B column and dragging down the formula. The fill handle is the black square in the bottom right corner of the cell when you make it the active cell (i.e., click it). The count is then done with the formula in the C column. Same deal re filling down except you need to change the end reference (in the first cell in the C column from, I think I used, 20 to whatever row contains your last entry. There are ways to generalize this, but my Excel solution was just an example in hopes that the original poster knew Excel and could adapt this.

I appreciate the offer. Although I mentioned one document, it contains over 30 data sources and types that need to be evaluated separately. Will not ask you to do that. What program fo you use?

Thanks - I will give it a try, along with the Word macro approach.

    Re: Compiling Keywords in Word

Well, the Word macro provided by the other poster works perfectly...I'd stick w/that since you're not familiar with Excel and the approach in Excel would take a little messing around.

    Re: Compiling Keywords in Word

oh, also...I happen to also use a programming language called APL, and doing this frequency count is rather trivial in that language (if you know it) because of the array handling capabilities.

    Hi Kevin,

Thank you for the explanation and the worksheet!
I'll play a bit with it (wanted to pick up on Excel some day anyway)

    Re: Compiling Keywords in Word

    Klaus,

Thanks again for the macro. One basic problem though is that I have no macro knowledge, beyond clicking on toolbar buttons for those installed by other apps. What do i have to do with the text file you sent? I feel stupid at this point. I've gone to Tools|Macros in Word 2002 but get stuck on what to do next.
