    Delete All Comments (2000)

    I can delete individual comments with no problem. How can I delete all comments simultaneously without using a macro? The document is unprotected and the comments are from one person only.

    I don't think you can delete all comments simultaneously without a macro, but I found a (less than perfect) option for you. Go to View-Toolbars-Reviewing to pull up the reviewing toolbar. Using the Next Comment and Delete Comment buttons (right next to each other), you should be able to get through the document pretty quickly, provided there aren't hundreds of comments in the document.

    Phil,

    Good approach and good use of styles. I'll have to remember this for my Word workshop in the PC group since I'm always trying to preach the benefit of styles.

    Given this, I decided to give it a whirl. Without wildcards and nothing in the FW nor the RW box (and the style selected as you indicated), your suggestion did NOT work. Using Find Next to observe what happens, Word just went from comment to comment and then opened the Comment Pane (wierd). Then I tried this with Replace All. Word told me it made 4 replacements but nothing changed (and I only had 2 comments). So I tried it with wildcards and FW=*. This worked as advertised. This is in Word 97.

    Hi Fred:
    Thanks for bringing this to my attention. I haven't had a chance to test this in Word 97 & won't be able to before Tuesday. I know that in both 97 & 2000, if formatting is indicated in the Replace box, then these steps will only change formatting, not delete the comments.

    When you tested this, was there any style or formatting indicated in the Replace box? Was the formattting of the comment reference marks changed?

    Hi Phil,

    No formatting in RW box. No change to the formatting of the comment reference marks when I did the replace withOUT wildcards.

    Let us know what you find.

    In my document, the style is displayed as Reference Text. Even when I tried the various solutions you mentioned, nothing was deleted. I am using Word 2000 on Windows 2000 OS. Thanks for the ideas.

    Hi Signe:
    I should modify my post. The comments themselfves are in the style Comment Text. However, the comment marks in the document are in the style Comment Reference. The first thing that you should do is to show hidden text. i.e. press the show/hide button on the standard toolbar so that you can see the comment reference marks.

    I've corrected the <!post=Post 135836,135836>Post 135836<!/post> above to include this step.

    Phil,

    Do I take it that you're still trying Word 97 on Tuesday (or thereafter) and that your responses have been based on 2000?

    I tried this again with pretty much same results. FW=nothing, RW=nothing but Find style=Comment Reference. If wildcards off, nothing changes. If wildcards checked, then this works. I also noticed that, with wildcards, if you leave FW blank, then some of the buttons (Find Next, Replace,...) are grayed out. So you have to type the * for FW if you check wildcards.

    Also, another somewhat unexpected result in Word 97. If I hide the hidden text for the Comment References (don't show hidden text by turning off Show All) and do the Replace with wildcards on or off, the Comment References are NOT deleted. But the yellow highlighting of the word that the comment is attached to is visible and you can still see the comment if you move your mouse to the highlighted word. Even if you include Hidden Text as part of the FW info but you are NOT showing hidden text, no replacements take place.

    Phil,

    Any chance you could update this post for Word 97 as indicated in the later posts. I tried this w/o reading all the posts and it didn't work with Word 97. I figured it *has* to work or it would not be a starred post. So I read on; Fred's trials with wildcards on and an asterisk in Find What bear mentioning up front if possible. That combination worked for me too. Thanks for this great post.

    Yes, I still have not been able to check Word 97. However, so far as showing hidden text before Find will find hidden text, that is true in Word 2000, too. I think it's probably true in all versions of Word that Find/Replace doesn't operate on hidden text unless that text is showing.

    In Word 2000, if you have both hidden & non hidden text in your document (with hidden showing), & you put
    FW: blank but Format hidden
    RW: blank

    You will delete all hidden text.

    Also, the fact that buttons are greyed out when using wildcards & nothing is put in FW, is also true in Word 2000.

    Hi Fred & Kevin:
    I have checked Word 97 today &, of course, only the 2nd method works, as you have indicated. Apparently, Word 97 "replaces" the formatting with "no change in formatting", which it counts as a change even though nothing happens. An interesting change between versions. <img src=/S/grin.gif border=0 alt=grin width=15 height=15> I don't have access to Wiord 2002, so I hope they haven't reverted. I'll adjust my original post. Thanks for bringing this to my attention.

    In Word2002 (which I don't have yet) there seem to be two new, interesting built-in Word macros (commands) which should be available from "Tools > Macro > Macros... > Macros in: Word Commands":

    DeleteAllCommentsInDoc
    Deletes all comments in document, ignoring filter settings.
    DeleteAllCommentsShown
    Deletes all comments that are highlighted in the current filter settings.
