Can't see data in cell (Excel 97)

I am working on a workbook in Excel 97. What I have done is put in a micro, where you click on Start, it inserts a blank cell that covers about 6 rows down and 5 across and is formatted to wrap, merge cells and have the vertical alignment set at the top. To the left of the blank cell are like 6 rows of questions, what, who, etc? I'm sorry to be so vague, but this is at work and I am home. Anyway, the info it gets is from a sheet at the end of the workbook called Template 1. When anyone types in this blank cell, it will only let you go so far down and then although the words will show in the formula bar and on Print preview, you can't see it in the box and it won't print. Can anyone help me, or do you need more information? If someone can tell me how, I will be glad to send it to myself at home and attach it. I've tried that before and it wouldn't work. I have tried deleting the writing in the cell, going to Edit and Clear and then retyping, but get the same thing. Another unusual thing I noticed is that if I change the font from 10 to 11 or 12, the typing will go to the bottom of the cell. Thank you.

OK you are very vague. I can hardly understand what is being done to make a determination of what might the solution be.

OK first I will first tell you to not use Merged cells. Unless you have to. You may think of a using a Textbox instead.

OK so here is what I understood:
1) You are home.
2) Excel 97 is the development version, what is the production version?
3) You are writing VBA code, that is a MACRO not a micro. This code is activated by a button somewhere called Start.
4) The code makes a cell that is 6 Rows by 5 Columns merged. Where does this cell get put? lets say if you have selected cell A1 where will that merged cell be?
5) That cell gets populated from a cell? Range of cells on a worksheet called template 1.
6) People type in that cell as well? <<< When anyone types in this blank cell >>>
7) Where is that box? <<< you can't see it in the box >>> Is it the merged cells?
8) When you say <<< although the words will show in the formula bar and on Print preview, you can't see it in the box and it won't print. >>> what exactly do you mean? If you see it in Print Preview, it should print. I say should because God knows there are some strange things.

You said: <<< Another unusual thing I noticed is that if I change the font from 10 to 11 or 12, the typing will go to the bottom of the cell. >>>

Oh you mean if you increase the font size, you see More?

Have you tried changing the Column width and the Row Height and see how that might affect the text?

OK tell me if I got the situation or if you have any more information.

Re: Can't see data in cell (Excel 97)

Thank you for replying. I did mean macro not micro. I had not thought of using a text box, but that would be so smart. I will try that. I'm sorry I have no idea what the production version is of Excel at work. OK the cell that would be typed in is B7 (the box is actually b7-g12, merged) In a7, there is a question, Who, in b7; what, c7; where, etc. No one will be writing in those cells. It is all supposed to be in the one big cell to the right (b7-g12, which I merged) As to question 5, when they click Start, the macro inserts 7 blank lines (a6-g12)goes to a sheet called Template, copies the who, what, etc questions along with the blank box (which is actually the b7-g12 cells merged) and goes back and pastes them on the original sheet. Does that make more sense? Yes the box is the merged cells. I totally agree that if you see it in Print Preview, it certainly should print, but doesn't. Even though I can't type in the area at the bottom of the cell (although there is a lot of blank space), if I increase the font size, it will fill that area. And yes, I did change the row heighth and column width. Didn't help at all. I'm going to attempt to attach an earlier version of this workbook and see if that will help. This isn't the one I'm having trouble with though. I really appreciate your help.

Judy

Part of why loungers can't understand the messages, is due to the way they are typed.

I hope that you are able to type in paragraphs vs one long string of text. See how I am using all sorts of white space to make my point clear.

OK Thanks for the attachment, it did help understanding what is going on.

Basically I simply changed the heights of the rows affecting the merged cell. That is Rows 7 through 12. I made a mark at the end of the text sting in the merged cell and now as you can see from the attachment, it displays all the text string. I hope this is what you were looking for.

Re: Can't see data in cell (Excel 97)

Thank you. Yes I do see what you mean about separating the text to make it easier to read. I will do that from now on.

I'm not really sure what you mean because I wasn't having any problem with this workbook, just the one at work. And I did try changing the row heights there and it didn't help.

But, I think using the text box might fix that. The only problem I can see with that is the same one I have with this one. Some people only type a sentence or two. Other people type 6 or 7 paragraphs. How can I make the text box grow automatically if they type beyond it's borders?

Re: Can't see data in cell (Excel 97)

The text box from the drawing tool bar is a a fixed size (the size you draw it at when you placed it on the worksheet). You can not make it to scroll to accommodate more text that the user might type in.

I suggest replacing this text box with the text box found on the Control Tool box. You can then enable vertical scrollbars, set MultiLilne=true and now when the user types more than the set size of the box, the scroll bars enable and they can continue.

I attached a sample that I did in xl2000.

Hi again,
I have one more question. Where exactly do I put the = multiline? When I tried it without it, it just keeps typing on the same row.

Thanks again

In the Properties window, you'll find a property MultiLine that can be either True or False.

To activate the Properties window, you can:

Right click the text box, and select Properties from the context menu, or

Select the text box, and click the Properties button on the Control Toolbox toolbar.

Re: Can't see data in cell (Excel 97)

MultiLine is one of many properties of a text box. When you have the text box on your worksheet, right-click and select Properties from the pop-up menu. (There is also a Properties icon that you can click from the tool bar.) This will display all the attributes of a text box that you can set. They're listed alphabetically and MultiLine is initially set to False. That's why when you type into the box it goes and goes forever to the right w/o scrolling or jumping down to the next line. There are three types of 'controls' you can use:

a) from the drawing tool bar, very limited but you can assign macos to them
from the Forms tool bar, more styles, you need to assign macros, only supports a "click" action
c) from the Controls tool bar (also called ActiveX controls). These are the most powerful and most useful.

Re: Can't see data in cell (Excel 97)

You guys are fantastic and have helped me tremendously. I have 2 more problems though after playing with it today.

First, how can I print it so that everything in the text box shows, including the hidden part that you have to scroll to see?

Also, after I put the text box in (using the control toolbox text box) I have to right click and choose Text Box Object Edit before I can type in it the first time. Is there something I'm doing wrong? <img src=/S/bravo.gif border=0 alt=bravo width=16 height=30>

Re: Can't see data in cell (Excel 97)

To print the contents of what the user typed in the box, you need to use code for that. You can add a PRINT button to the worksheet and then that button will read the contents of the text box and send it to the printer. Look at the sample I gave you and see that the 'copy' button read the contents of the text box and wrote it to another worksheet (just as a sample).

For your 2nd question, you can use code to add the initial text to the text box. You can also just right-click and select Properties (not 'edit object') and add your initial text to the Text field. This isn't practical though. I thought your situation was that the user added text to the text box not you. Isn't it initially empty? I thought it was to be used for the user to enter answers to a set of questions.

Now I'm confused as to how this is to be used. Do you know about VBA and how to write the code or use the editor? Did you see the code I had in that sample?

No it's not, on the alignment tab there is an "Automatic size" checkbox.

Unfortunately one cannot set a minimum dimension on it.

Re: Can't see data in cell (Excel 97)

When I clicked on the Copy Typed Data, I got an error message. I think it's because you put copy to sheet 2 and I have no sheet 2. Oh, that was just to show me how, huh? Duh. But, they will need to print the complete page, not just the text box with the data in it.

No, you were right about the box being initially empty. I was trying it to see if it would work and couldn't type in without doing the edit. I think this might not be the right box for what I need. Is there another way to do this that you know of?

I know a little about VBA and have written some code, but am far from proficient.

Again, I really appreciate your help.

Judy,

In your mereged cell I embedded a wordpad object, which can be edited. It will expand to display all content and should print.

You can insert such an item by going to Insert, Object and scroll down and selec WordPad. You could use Word if you prefer, but wordpad seems more sensible.
