Table of Contents - Print Preview (Word 2002 SP-1)

The following also happens in Word 2000 TOC's also.
I click on Print Preview. The preview appears. It has changed the page numbers in the table of contents to all the same number, say all 3's. I close Print Preview. The numbers have been changed to all 3's. So, the TOC needs to be updated.
I had Word 2000 for over a year and this did not happen. I just noticed on Word 2002. So, I tried it on a co-workers PC who has 2000 and it did the same thing on her PC using a document that had not been opened in Word 2002.
    Any thoughts, hints, etc...?

    Thanks

    Ruth

PS I found out that while the co-worker has Office 2000, she is running FrontPage 2002. So, that could be why only her and I get this "thing". The others who just have Office 2000, this does not happen to them. I also found that if you print that page (or entire document) with the incorrect numbers on it, the numbers return to what they were supposed to be!

Hello, Ruth. This is because of an option set. Go to Tools / Options / Print and make sure that "Update Fields" is checked. That should eliminate the issue for you.

Well, I "checked" the Update Fields under Print Options, but that did not stop the page numbers from changing. Any other tips?

    Thanks

    Hi Ruth:
I haven't used Word 2002 & the closest thing I could find in the KB was this. Don't know if it will help.

Re: Table of Contents - Print Preview (Word 2002 SP-1)

I do happen to have an object in several tables, but they are in the body of the document not in the headers/footers.
This is good to know though!
    Thanks for your help.

Re: Table of Contents - Print Preview (Word 2002 SP-1)

    Hi Ruth:
Try inserting the problem document into a new blank document. This copies it without the last paragraph mark, which sometimes carries corruption. If you have section breaks in your document, they may also carry corruption, as page numbering is a section property. If so, you may have to copy each section separately WITHOUT including the section breaks.

    Hope this helps,

    Phil,
Unfortunately, this happens in every document! I sure hope that every document we have is not corrupted! <img src=/S/crossfingers.gif border=0 alt=crossfingers width=17 height=16>
I will, however, try this with just one of the documents and see how it goes.

    Thanks

    Hi Ruth:
Upon rereading your posts, one other thought. If you select all (Ctrl+A) & then press F9 to update fields, does the problem go away? I say that because you said printing seems to correct the problem, & printing updates the fields.

Re: Table of Contents - Print Preview (Word 2002 SP-1)

    Phil,

    Yes, that works also.
I was hoping that there was a way to keep it from changing the numbers. I'm sure I won't remember to "update the fields" after everytime I do a print preview. <img src=/S/crazy.gif border=0 alt=crazy width=15 height=15>

    Thanks for all the tips.

Re: Table of Contents - Print Preview (Word 2002 SP-1)

    Hi Ruth:
In previous versions of Word, switching to Print Preview updated all the fields that would be updated at printing. (How else can you "preview" what will be printed?) I find it strange that MS would deliberately change this. Are these documents being saved as normal Word documents? (You can see the type in the FileSave box, near the bottom). Try switching to Print Preview & back twice & see if the fields are updated.

    Phil,
I totally agree with your first statement. Why "Fix" something that isnt' "Broke"!
The documents are saved as normal Word documents.
I did the Print Preview twice and the numbers did return to the correct numbers in the second Print Preview.

So, I'll guess I'll just have to live with it!

    Thanks
    Ruth
