    Inserting Signature based on Field Value (Word 2000)

    Hi All,
    I am trying to help my company set up a template to do a mail merge of nearly 2000 people. We have different advisors for those people so I'd like to set it up so that depending on which advisor pops up the correct scanned signature is pulled to print on the letter. The mail merge data source is a CSV file that is generated from an SQL 7 database. The scanned signatures are separate files. We might be able to add those to the agent records, but for now I have no idea how to do that. Sorry if I seem like an idiot. Just trying to do something new and knew that you all would know how to help me out.

    I'm fairly certain you can't get a graphic into a CSV file, although possibly you could get a path in there. One option would be to re-do the merge for each advisor, that is, have the signature in there and use a condition on the merge that matches the signature. This could be a hassle, though, maintaining several different main documents.

    I'm not a guru when it comes to the use of the IF field, much less the mixing of this field with MERGEFIELD fields, but I can imagine a very deeply nested field that churns through these comparisons more or less as follows:

    { IF Advisor = "Bill", { INCLUDEPICTURE PathToBill'sSig }, IF Advisor = "Joan", { INCLUDEPICTURE PathToJoan'sSig }, etc. } }

    The idea is to insert a field that pulls in the sig file. You can either leave it as a link or you can convert them all to pictures. Again, there is a way to do the comparison with MERGEFIELD data; "Advisor" is just a placeholder for that.

    You could also include the correct path in the merge data and bring that into the IncludePicture field. That would avoid the nested If statement and simplify the operation somewhat.

    You definately can't get the graphic into the CSV file but the path would be fine. If the path includes a comma then remember to enclose it in quotes.

    My CSV file contained the ADVISORID field (a number). So we named each signature with the id number in the name of the graphic (Advisor12sig.jpg). Then we included this line in the word document.

    {INCLUDEPICTURE "c:my picturesAdvisor{Mergefield AdvisorID}sig.jpg"}
    After running the merge you have to select the entire document (CTRL-A) then press F9 (brings in the graphic) Worked like a charm!
