    Disappearing Footnotes (2000 SP2)

    I have a 26 page document. from page 19 onwards I have between 1 and 4 footnotes on each page. when I view the pages in print preview the footnotes periodically disappear, similarly when I return to Print layout view they sometimes appear other times they do not. I am unable to establish any pattern other than they will disappear in either view. On some of the pages if I print the current page sometimes the footers prints, sometimes they do not. I have checked for obvious corruptions, all to no avail. Has anyone had a similar problem, if so did you solve it?

    Hi John:
    I'm not sure what's causing it, but I can think of a few things to check:
    1. See if any of the footnotes are formatted as hidden by pressing Shift+F1 & then clicking on the footnote. You could also go to Tools/Options/Print tab & see if the document is set to print hidden text. My thought is that somehow the footnotes are disappearing because of the print settings.
    2. In fact, I'd search for hidden text anywhere in my document. Perhaps the footnotes are moving because of hidden text showing in normal view, but not showing or printing.
    3. Do you have floating graphics in your document, but the print setting (Tools/Options/Print tab/drawing objects unticked) is set not to print graphics? This could cause the document to repaginate & move the footnotes.
    4. Did you use automatic paragraph spacing in the document rather exact line spacing (Format/Paragraph/ Indents & spacing tab/line spacing = single vs. exact)? Word doesn't calculate footnote placement as well with single line spacing as it does with an exact number.
    5. Check to see if there are any tracked changes in the document with the option to view them turned off.
    6. I do know that footnotes do not appear in Web page layout. I don't know if your document is saved as a web page & that is affecting it.
    7. Footnotes will also move if there is a continuous section break in the document with footnotes before & after.
    8. Do you have any coms or add-ins loaded that might conflict with footnotes.

    Most of the above relate to movement of footnotes, as opposed to "disappearing", but I'm trying to think of possibilities & it's difficult to come up with scenarios where they actually "disappear" (I'm assuming they come back in normal view).

    Hi Phil,

    Thank you for your excellent advice. I managed to solve the problem but I still don't know precisely what caused it!! The user had copied and pasted the footnotes from one page to the proceeding pages and deleted the footnotes not required. When the footnotes were pasted they assumed a different style (style Footnote Reference), by re-applying the original style the "disappearing" was fixed. What I still don't understand is what causes the Footnote Reference style to "disappear" in the first place.

    Hi John:
    Glad you found a solution. I suppose it could have been many causes. Heck, a person could press Ctrl+Shift+h by accident (say trying to type a capital H) & that shortcut key formats the font as hidden. Then, too, there are gremlins... <img src=/S/smile.gif border=0 alt=smile width=15 height=15>
