    Help required with rounding (2000)

    Hi all,

I need to get Word to do something and am unable to do it myself.

What is the problem I am experiencing? I use a program to create quotes which are pulled through to Word (based on a template). Each product line has a price with decimal points in it (see example). I would like word to automatically round the price values to the nearest whole number. One complication I have is that I never know how many product lines will be in a quote so I require this to do it for all product rows. Lastly, just to throw a spanner in the works, I would also like this to happen only for prices over

You might write a Word macro to do this, but it would be much easier to insert an Excel table into the Word document. Excel is much more suited to what you want to accomplish.

    Hi Hans,

I am not that experienced in using Excel. do not know how to place an excel table into the template and make it work. Is it easy to do? I have attached a copy of the template (had to chance it to a .doc extension to upload it though) on which the previous attachment is based on. Would you know how to do what I would like in Excel?

    Thanks

The attached document (template) doesn't look like a mailmerge file. In your first post, you mentioned that you use a program to pull data into Word.
    (1) Where do the data come from?
    (2) Is this program able to pull data into Excel instead of Word?

Re: Help required with rounding (2000)

    Hi Hans,

The data comes from a CRM system. All the customer information and pricing is stored there. You build up the quote in the crm application, click on a 'word' button and the data is pulled through to word, being based on the template I attached in my second post. For example, if I had built a quote with 25 product lines in it, the template would create a word document with 25 lines of porducts in it as well.

I don not think it is possible to pull data into Excel rather than Word. I think it is set in the code of the CRM system.

    Regards,

    Mintyman

    Hans,

An update: I attempted putting an excel table into the word template but it didn't work. The template code wouldn't pull through the data (possibly because it is within an imbedded object?)

You should be able to use the Round function in a Formula field.

Ouch, that really hurt, imagine me suggesting a non-macro solution!

Forgive my inexperience but i'm not very clued up on using formula. Could you show me the formula I would have to type? I'd be ever so grateful.

    Thanks,

Look at the field code in column 2 of the attached doc.

Re: Help required with rounding (2000)

    Thanks for that,

That does what I would like it to do. Is there any way to apply that to all cells (N) in a table column automatically when the document is opened rather than having to manually select each cell and type in the formula?

    Thanks,

    Mintyman

I'm afraid Word doesn't offer that "fill" feature (that I know of, anyway) that exists in Excel. You could copy the field code and paste it in the various cells then edit the cell references (saves some time).

Re: Help required with rounding (2000)

So there is no way to tell it to do the same for N rows? I make quotes a lot and they can sometimes have up to 40 product lines in each of them. It would be really handy to highlight the first one, run a macro and all cells below it would have the formula applied to it.

    Cheers,

    Mintyman

Yes, you could write a macro to read down a table column, copy out the contents, embed them in a field code, and write it back in. Give it a try!

THe Formula field is described in Word's Help, and in the more comprehensive Word user level books.
THere is a link within the Help for the Forula field that will lead ypu to a list of the allowed functions, one of which pertains to rounding.
