    Find by Font Size (2002)

    I have been getting extremely inconsistent results doing Find and Replace in 2002 when including a font name and one other criteria, especially a font size. (By the way, I've also had buggy results when selecting text and doing a "replace all" within the selection -- sometimes it replaces all outside the selection as well, but that's another topic.)

    For example, I was searching a 300 page document where the users had sometimes in the text of the document used the word "Table" in bold and other times not. Since "Table" should only be in bold in the chapter and section headings, which were in larger font sizes, I searched for "Table" with the format of "bold" and "11 pt". No results, despite the fact that I could see two examples on the current page alone.

    In a document with two fonts in it, Times 12 point and Courier 9 pt, I did a find and replace of all Courier to Monospace. Worked fine. Then I decided to convert the Monospace 9 pt to Monospace 11 pt. However, Find and Replace could not find any Monospace 9 pt text! Now, keep in mind, I just converted the text to this font and that I could select any characters and the toolbar and reveal formatting task pane both identify the text as Monospace 9 pt.

    I have been able to reproduce this on one other computer in my company. We are testing Office XP and only 3 of us have it so far. I am the only advanced user with XP.

    Is anyone else having similar problems? I couldn't find anything in the Knowledge Base. I find it hard to believe everyone is having this problem and it's not in Knowledge Base, so I am wondering if it something unique to our test environment. Any ideas?

    Evaluating all the evidence, I'd suspect gremlins. It doesn't sound like bugs at all.

    Some of what you describe may have natural causes:
    "Replace all" will replace in the whole document if it says so ("Search: All") in the dialog, even if you have some text selected.
    And if you search for bold text, it will only find text with the attribute "bold", not text that is formatted in a font that only looks bold (like Arial Black).

    As for the rest, I don't have an explanation. Since you say it's reproducible, it would be best if you post a small sample document that demonstrates your problems; perhaps we can exorcise those gremlins.

    I've attached a very short document which contains the word "Tables" in Times New Roman, Bold, 11 pt. It was part of a tables manual where the word "tables" was bolded inconsistently and I wanted to remove bold only in the body, which could be any of numerous styles but always 11 pt. Searching for "Tables" as bold 11 pt on our computers shows no matches, when in fact, there were about a dozen instances. This is a True Type font and installed on all our computers.

    By the way, the search works perfectly on the same computer, same document, but using Word 97, which is how I resolved the problem. The document, by the way, was also originally created in Word 97 but edited in Word 2002.

    In each case where I have had the font search problem, I have been able to open the document in Word 97 and perform the search with proper results. I've even done screen shots of the Find/Replace dialog box to make sure that I'm not doing something different in the two versions of Word. We do have Word 97 and Word 2002 on the same computers. I don't see how that could affect it, but I've been surprised before.

    As for the "replace all" for selected text - it is inconsistent. The first time I noticed it, I was replacing text only in portions of the document. I selected a block of text, clicked on replace all, clicked back in the document, selected the next block of text, reactivated the find/replace dialog, clicked on replace all, etc. Then suddenly after about six or so repetitions, it began replacing all throughout the document, not just the selection. I closed the document, reopened it (still in Word 2002), and continued with no problems.

    Hi,

    I'm still using Word2000, and searching for "Tables" in Times New Roman, Bold, 11 pt finds the one occurrence.

    There is something at the back of my mind that "Find" sometimes fails in Word2002 because of foreign language support: The font definition for bidi text can be different than that for Western text, and Word gets confused.
    If I save your document in HTML format and look at the source code, it says:
    <pre> font-size:11.0pt;
    mso-bidi-font-size:10.0pt;</pre>

    Perhaps there is some way in Word2002 to change the bidi (bidirectional, arab/hebrew) font size of the style to 11 pt, and the problem will go away?

    I hope someone with Word2002 can help you there.


    "Replace All" for selected text:
    If you select text and open the Find/Replace dialog, "Search: Down" is selected automatically and the replacement will only be made in the selected text.
    When you click back in the document and select text after the dialog is open, the "Search:" setting does not change. If it says "Search: All", it will search the whole document. You would have to change it to "Search: Down" yourself.
    It's something that gets me, too, once in a while. Fortunately you can undo the replacement (Ctrl+Z) as long as you notice what happened in time.

    I think you are really on to something here with the bidi font. I've sent this on to Microsoft to see if they can advise me on how to deal with this.

    I'll be sure to add any additional info here.

    As for the "search: all" -- I'll keep an eye out for that. I don't know why it should suddenly switch on me, but who knows.
