    Template usage (WinNT4, Word97)

    I know this may be a long shot, but is there any way to tell when a template is used? What I would love, of course, is a way to know now when a template was last used, but I accept that is a pipedream; a way of logging their usage for the future, though ...?!

    I have to deal with some 2,500 templates, and it would be really useful if we had some way of logging the fact that a template has been run with the date it ran on so that over time we could build up a picture of which templates are actually used and which are just dead space on the server.

    Any ideas gratefully received!

    Could you use file access auditing on the server to identify when the templates are accessed?

    Maybe - how would I go about doing that?

    I'm a software/user oriented person, not hardware/network, so I don't have personal access to things like the Netware stuff that runs the server, but maybe if it was something that once the netware people have set it up I can use without further reference to them, I might be able to persuade them to let have it. I certainly wouldn't be able to if it was something they would have to maintain ongoing, eg running reports for me or anything like that.

    I'm afraid I don't do Netware, I could tell you how to set it up on NT4 or W2K. It would very likely need the system admins to run you off a report, but they may be able to automate it with a script.

    If you just want to know when a template was last accessed can you look at the "Last Accessed" date on the properties page?

    Do files on a Netware share give you the same information? If so then this will even give you the retrospective data you asked for!

    Great idea, Stuart - only trouble is, the template considers you looking at the properties to be an 'access' - notice the accessed date and time?! I tried it with several templates, including an archived set that I know haven't been touched since August 2001, and they all said they were last accessed today, now.

    Makes you wonder what point Microsoft thought there was in putting it in!

    Unless some clever VBA bod could write a macro that would loop through all the templates and pinch the 'last accessed' information without the template realising? Or would it decide that was accessing it too?!

    I was looking at the same idea to suggest to Beryl. I have a Novell Network here at work and it does have last accessed information.

    That being said, our network backup software changes the last accessed date every time the file gets backed up. Nightly in our case.

    However, when a new document gets created from the template, it doesn't seem to update the last accessed time.

    So I didn't bother suggesting it <img src=/S/smile.gif border=0 alt=smile width=15 height=15>

    Don't crawl away Stuart.

    Based on Beryl's last post, I'd say there are "issues" with our network setup.

    Accessing the the last accessed date should change the last accessed date (or at least Beryl's network does) but it doesn't change mine, so I'd guess one of our networks isn't setup correctly. Probably mine. <img src=/S/grin.gif border=0 alt=grin width=15 height=15> or should that be <img src=/S/sad.gif border=0 alt=sad width=15 height=15>

    If it makes a difference, the way I looked at the properties was by rightclicking in Windows Explorer ...

    Just out of curiosity, how do you know whether the last accessed time gets updated when the template is run, since checking the properties causes it to update the last accessed time to now?! <img src=/S/headthrob.gif border=0 alt=headthrob width=15 height=15>

    Start |Run...

    Type "whoami" without the quotes.

    This should pop up a DOS box with a listing of all your Novell Connections.

    Look at the server lines and it will give a Server Name and then Netware VX.XX.XX

    The X's are the Novell Versions you are using.
