    Underline and Bold Affect Whole Document (Word XP)

    Hi All -

    Apologies in advance if this has been discussed -- I'm relatively new to the Lounge, and haven't see this problem come up.

    I'm running Office XP on Windows XP Pro. No Service Packs or Releases, but up-to-date on security patches AFAIK.

    From time to time, with no apparent consistency, when I apply formatting changes in Word (bold, underline or bullets come to mind) the change is made to the entire document instead of just the highlighted word or paragraph. A single click of the "Undo" button in the toolbar removes the formatting from everything except the originally-intended section. In other words, here's a typical scenario:

    1. Highlight a single paragraph in a 4-paragraph document
    2. Click Bold in the Word Toolbar -- All four paragraphs are bolded.
    3. Click Undo in the Word Toolbar -- Now, only the originally-selected paragraph is bold.

    I've see this happen with bold, italic, bulleted and numbered lists, paragraph indent, and I'm pretty sure other formatting styles that escape me right now.

    Has anyone else run into this, and if so, any ideas to fix it other than clicking Undo?

    Vaughn:

    It looks like you have a style in your template (usually Normal) that is set to "Automatically update." Open the template and select Format, Style, click on Normal under Styles:, then click Modify. Uncheck Automatically update, click OK and Close, then save the template. Your might also want to check the other styles in the template to see if they are also set up to automatically update.

    Ahh, yes. The new DEFAULT for styles in XP is to "automatically update." Isn't that convenient?

    Thanks for the tip. I disabled the "Automatically update" option and I'll see if the problem goes away. I'm a little perplexed why the problem didn't show up consistently, but a little mystery is good for excitement. I guess if this stuff was easy everyone would want to do it. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>

    One possible reason that it wouldn't do this consistently might be that it does it in documents created in Word XP, which would use the style definitions found in the normal.dot, which include the automatically update feature. Documents created in another version of Word would include the style definitions that were in use when they were created, or some modification thereof, which would probably not include automatically update. Remember that style definitions travel with the document and are not automatically replaced by those found in the the normal.dot on a particular computer.

    Hi Lee -

    I was wondering why the problem wasn't consistent, and I'll bet you've hit the nail on the head. I haven't seen it crop up since I disabled the Automatic Update "feature", but I was still a bit perplexed about its inconsistency.

    I have had this same thing occur with Word 2000 on Win2000. I posted this problem and no one ever responded to it so I do not know what causes it or why. I never have any of the styles set to automatically update and I use styles to format my documents. Hope someone reads this and will help us understand why this occurs.

    Jan, Have a look at Tools, Templates and Add-ins and see if the "automatically update styles" checkbox is checked. This can not only be applied to individual Styles, but also to Templates. That may be the source of your issue with Word2K.
