    Multiple addresses on Merge Letter (97 Sr2)

    I have a user who wants to perform a mail merge. He is sending letters to homeowners with info about their home. In most cases, there is one address for each letter. But, there are several homes owned by companies who one more than one home.

    In this case, we want the letter addressed to the Company and then have the house addresses he owns listed on the letter.

    1. 123 Sage Ave
    2. 16 C Street
    3. 454 Barnes Way


    Like that. I don't have a clue how to set that up. He has all the addresses in an Excel spreadsheet. I am thinking this will take more than one merge: once for the one-on-one relationship type letters. And, another for the multiple location letters. I'm ok with that.

    But, still, how do I set up the multiple locations form letter??

    Putting that data in is easy!

    Assuming his file has headings like

    Person, Address, otherAddress1, OtherAddress2 ....

    Then it is simply a case of selecting those headings within the merge process as fields to insert into the document

    the result would look like

    <<Address>>
    Dear <<Person>>

    About your properties at
    <<Address>>
    <<otherAddress1>>
    <<otherAddress2>>
    ...

    The downside is that this would create extra blank lines (and "properties" would have to be "property" for a professional look when only one occurred)
    Depending on the logic of your merge you'd have to code some IF statements.
    e.g.
    About your propert{ IF { MERGEFIELD otherAddress1 } = "" "y" "ies" }

    Try scanning the Lounge here for past posts on "one-to-many" type merges. There are a couple of different solutions, but seldom having to do merges myself, I can't remember how they work.

    Hi Andrew:
    Your method should work perfectly & you can avoid blank lines. All you have to do is select the radio button under Merge... "Don't print blank lines when data fields are empty."
