'Ask' fields prompt twice when using 'Includetext' (97/2000)

I've attached two very simple test documents.

The "Top Document" has an ASK question which is used by an IF field to INCLUDETEXT a file called "2nd level doc". "Second level doc" has an ASK field and a bookmark reference to insert the result into the document.

Problem: When the user updates the fields (eg when running a mail merge) the ASK field in "2nd level doc" prompts twice causing confusion for the user. In more complex documents it also appears that some of the answers to multiple ASK questions are ignored or lost, thus compromising the result.

It would seem that W97 and W2000 don't like ASK fields to be in documents that have been INCLUDED into a document. In W2002/XP, the updating works perfectly. ie there is no double prompting. I am aware of the knowledge base articles on prompting twice from Fill-In fields, but this problem involves the ASK fields.

(I apologise to Phil, Hans and anyone else who may have followed this problem when I posted it inside another thread, but I thought I would bring it to the attention of the whole forum before putting it into the too hard basket)

A carton of beer is waiting in Brisbane, Australia for anyone who can solve this problem for me.

    Regards,

    How many units in a carton? <img src=/S/grin.gif border=0 alt=grin width=15 height=15>

For the sake of ease of reference, the other thread starts here.

    Hi Matthew,

    Better late than never!!

I've modified your attachments to provide the result I think you wanted. What's not so obvious in your 2nd-level document is that I placed two empty bookmarks (Question2 and Question3) at the start of their respective fields. With the mods I've made, your top level document only asks once.

    Cheers

PS, I'll be in Brisbane next month ...

    <P ID="edit" class=small>(Edited by mkeyser on 01-Apr-03 16:37. not really a problem)</P>Thanks macropod,

I tried your changes in on W97 & W2000 and they seemed to work fine. Though I must admit that I had trouble initially as they were saved to a different file location. (yes I did modifiy the path in the INCLUDETEXT field) I'm not sure why it went wrong. I will investigate further on that front.

On the W2002 (where my original effort worked properly) failed to display in the "Main Document" the text entered into Question3. I noticed that in the "2nd level doc" the IF fields didn't have the " " around the TrueText ASK field, nor the Question3 bookmark. If I added the " " then Question3 text was displayed correctly on the W2002 but failed to display on the W97 and W2000.

I was hoping to avoid having to maintain separate files for W97/W2000 and W2002.

I feel that your solution is very close to what I need. I've started to chill the beer. <img src=/S/cheers.gif border=0 alt=cheers width=30 height=16>

I just realised that I don't really implement the ASK & Bookmark fields together in the same IF as I tend to ASK all of my questions at the start of the document and therefore the differences between W97/2000 and W2002 are negated by a separate IF field which displays the Question3 text for all versions.

Contact me when you are about to head to Brisbane & I will arrange for your reward to be delivered. <img src=/S/cheers.gif border=0 alt=cheers width=30 height=16>

Thanks for your help.... you have made my day. <img src=/S/smile.gif border=0 alt=smile width=15 height=15>
