    Disappearing text (Word '97)

    A file I have just received has two (at least) problems between Page Layout and Normal view.

    First, there are a couple of tables that are partially hidden in Page Layout view and when printed, but the material's all there when I switch to Normal view. It prints normally until the bottom of the page, when it just cuts off in the middle of a line as if being viewed through a too-small "window." The other table does the same but cuts off the left side instead of the bottom.

    Then there are several pages of text that appear in Page Layout view but disappear in Normal view. I can't select them, which makes me think they're somehow formatted as endnotes or something.

    This file originated outside the company, so there's no way of telling who's done what to it. It has a lot of local bold and italics, which I need to keep, so I'd rather not have to reduce it to text only.

    Suggestions?

    Hi Lin,
    It sounds like the problem with your tables could be that they're too wide/long to fit within the printable area of your pages.
    As for the text that appears in page layout view but not in normal view, that could be caused by various things, including endnotes and/or a new section (probably towards the end of your document) that has several pages of text in a header or footer.

    Thanks, that sounds good, except . . .

    The tables don't look too wide, and if they're too long, they should just break, shouldn't they?

    Could this be caused by screwy settings of the margins? The one that's cut off on the left looks like it is the right size and shape but just placed over the edge. Is this possible? Although I've used Word a lot, we don't normally do this kind of formatting, and I'm fairly clueless about page formatting like this. I looked at the page setup, including the paper size, and couldn't see anything odd. Or maybe they're in a separate text box? (And how could I tell?)

    I searched for section breaks and it didn't find any. There doesn't seem to be text in the headers or footers, either.

    Hi again Lin,

    With the first part of your problem, check that the paper size that the sections document with the offending tables have been set up for sheets that are no larger than what your printer supports. You do this via File|Page Setup|Paper size. A paper size that's too large for your printer can cause both the horizontal and vertical truncation problems you're experiencing.

    I'll ponder the other problem a bit more and see if anything else comes to mind. Aletrnatively, if you attach a 'sanitised' copy of your document (<100K), that would make it easier to check.

    Hi Lin,

    Your document definitely has endnotes. A short endnote No.1 is attached to the last line on page 1-1, and a long endnote No.2 is attached to the last line of the paragraph under the heading "You Are Your Own Coach" on page 1-3.

    The reason for the table on page 1-5 cutting off on the right-hand side is that it's too wide to fit the printable area. In Page Layout view, you'll see that the right margin of the table goes almost to the right edge of the paper. Print Preview shows that the right edge of the table gets cut off as a result.

    The reason for the same table being truncated at the bottom of the page is that you've got "Heading Rows Repeat" checked on the main Table menu. I'm using Word 2K, so I'm not sure if you'll see the same options in Word '97.

    There were four things which together conspired to create the issue
    1) The left margin was set to the left of 'normal'
    2) Header rows were defined for both the header and the data row
    3) the data row was set to have height of "at least" a big number
    4) keep with next and keep togther were set for all paragraphs

    Thank you both!

    I think I was assuming (why, I can't imagine) that the keep together etc would have been part of the style, rather than local formatting.
    Some days I just don't have enough imagination!

    As always, the Lounge comes through again--before I have to start pulling hair.
