    Comment Page Number Reference (Word 2000/SR1)

    We use page numbering which captures the section number. However, the page numbers on comments show up as just the page number within a section, e.g. "page 4" when the comment is actually on page 6-4. This makes it hard to find the comment when you're just looking at the printout page of the comments. Can this be fixed somehow?

    Hi Gerry:
    I can think of a way to do this, but I don't know how to change the default. When you enter a comment, Word places a field in the comment pane. When you print a document with comments, the field is updated. However, the {PAGE} field doesn't inlcude a section number. The only way I know how to get the format you want is to:

    1. Insert all your comments. Before printing,
    2. Open the comments pane (Alt,V,C).
    3. Turn on field codes (Alt+F9). You should see this syntax: {PAGE # "'Page: '#''" } where the box is a downward & then left facing arrow (a line break). I don't know how to paste it here.
    4. Put the cursor inside the field right after "Page: "& press Ctrl+F9.
    5. Type section & arrow right twice & type a hyphen.
    6. Now select the entire nested field & copy it to the clipboard.
    7. With the cursor still in the comments pane, bring up the Find/Replace box &
    Find: ^19
    Replace: ^c

    This says to find an opening field brace & replace it with the clipboard contents.
    8. Replace all & then print.

    What this does is replace the {Page} field in the comments pane with

    {PAGE # "'Page: { section }-'#''" } where the box represents a line break.

    You will have to do this each time you add new comments. To make it simpler, I would copy the field as an AutoText entry. Then, if you wish, I think the following macro will do the task for you, provided you have copied the field to the clipboard before you run the macro:

    wdPrintComments, Copies:=1, Pages:="", PageType:=wdPrintAllPages, Collate _
    :=True, Background:=True, PrintToFile:=False
    End Sub

    Hi Phil
    Thanks for your response. I knew if there was a way that some guru at Woody's Lounge would have the answer. I am not at all familiar with using macros or VBA, however, I sent your response to the software engineer who in fact posed this question initially. Being well skilled in VBA, I am sure he will find your instructions useful in resolving the page number references within comments. Personally, I did not find this to be much of a problem since comments are numbered sequentially and it does not take to much time to find the specified comment. I will post any feedback I get following our attempts to make this happen. Thanks again for your time and effort.

    Hi Phil,

    You could get a similar result by replacing the default field code with:
    {QUOTE "Page: " {SECTION} "-" {PAGE} 11}
    The 11 inserts the required line feed. You can also use this technique to insert tabs (09), non-breaking spaces (160), or indeed any valid characters (eg replace "-" with 45 for a narrow hyphen or 30 for a wide hyphen).
