    Global templates? (2000/SP-3)

    I have a series of letters (in template format), which I would like to share with others. The letters need to be placed into documents with varying letterheads. Am I correct in assuming that I could use global templates to accomplish this? If so, how? I have tried adding a letterhead global template then opening one of letters, but nothing seems to happen.

    If you want the content of a template to appear in a new document then you need to use an attached template, not a global one. You also need to create a NEW document using the template, if you attach the template to an existing document then it will not change the document contents, only its formatting.

    If you need to change the letterhead on these letters then you probably need to write a Macro to do the job.

    If there is a 1:1 relationship between the letter content and the letterhead that goes with it, individual templates would be best. These can be grouped together on the user's File|New tab by placing them in a subfolder of the (user) Templates folder (it will appear after all the built-in folder names, but before the Workgroup folder names).

    If you have letters each of which will need to be printed on a variety of different letterhead, it's a bit more complicated because you might have to adjust for, say, a wide left or right margin, a big top header, different date or direct dial number position, and so forth. In that case, you might use a macro that changes the parge setup settings (margins, header margins, etc.), the headers/footers, and the main styles to reposition the letter content for the target letterhead. Styles are very powerful and can save you a lot of work, but you will need to do a lot of thinking in advance about the parameters to make this work.     Another option. If you have boilerplate text (letters) that must be inserted into various documents (varying letterhead), you could save each of the boilerplate text items as an Autotext in a global (or specialized) template.
