    Appointment reminders (Outlook 2002 on Win XP Pro)

    Is there a way to remove The Reminder from future appointments already made? I have changed the default for new appointments but there are many, many appointments going forward and I don't fancy going into each one to remove the tick. FYI: my boss only accesses the Calendar sporadically, relying on me to advise what's coming up. However, when he does want to look at it, there are about 50 reminders needing to be closed before he can actually see what's happening.

    I can't find a bulk way to do it, but a fast way to see and delete them all is to click on the Calendar, select View, Current View, Active Appointments, OK out. If the Reminder (Bell Icon) not already in the view (It isn't by default) use View, Current View (making sure you are now in Active Appointment View), Customize, Fields; in Available Fields select Reminder, click Add, OK out. Now the Bell Icons will be shown for each Appointment within each category. Sorted by presence or absence of the Reminder within each category by clicking on the Bell Icon in the -column header-. Clicking on any Bell in the individual appointment row removes (or if none is there, creates) the Reminder for the meeting.

    BTW your boss will annoy people like me if he/she insists on sending meeting requests without the meeting reminder set. <img src=/S/grin.gif border=0 alt=grin width=15 height=15>

    Thank you so much, John. That worked perfectly - 95 appointments cleared in less than 5 minutes for the whole procedure.

    Well, I know it will irritate others but we have to keep the big boys happy - yes? (And he's very reasonable in everything else).

    Do you mean to remove all or a selection of Recurring Appointments in one fell swoop? Or do you mean to change them from recurring to single event? If the latter, I don't know a bulk way due to all possible permutations of recurrence.

    If you want to delete a bunch of recurring appointments, select View, Current View, Recurring Appointments, selecting (Ctrl-click for multiple discontiguous items, or click the first and shift click the last for a series of contiguous items) those to be deleted, and hitting the delete button or Ctrl-D. (I don't have a test-bed for this - I'd have to delete some of my own live Calendar to test!)

    I mean change a recurring appt. to a single appt by selecting several at a time.

    Sorry, I don't know how to do that; how do you decide which of the recurring dates you want singled out?

    What I am doing is copying all day events and appointments from a personal calendar to a public folder calendar and task list. Are you aware whether there is a limit of all day events on a given day?

    <img src=/S/doh.gif border=0 alt=doh width=15 height=15> Oh, are you looking to break recurring appointments into separate appointments for each day they occur? Sorry, I don't know how to do that either. Poke around in the Slipstick Calendar Utility area and see if there is anything: I don't see anything that fits the bill.

    As to moving or copying appointments between Calendars, the fastest way I can think of is to open source and target Calendars with the source Calendar in Active Appointments View, select all the source Calendar appointments in one go and drag them to the target calendar.

    And I also don't know if there is a limit to the number of All day Items on a gven day. There might be some display problems when you get over 4 or 5. Not much use, am I? <img src=/S/grin.gif border=0 alt=grin width=15 height=15>
