    copying/modifiying distribution lists (Outlook 2002)

    I have a distribution list with 60 names. I want to be able to create atleast 4 new distribution lists that are a subset of this list. I thought I could start with my 60-name distribution list and delete 45 names - and give this new list (with 15 names left) a new name. BUT... the original list is replaced (e.g. given the new name). Is there any setting or way that will let you create a new distribiotn list based on another distribution list?

    You're actions modify your list and rename it. Similar to when you change the name of a contact. What you want to do is copy your 60 name list, paste it, rename it, and then do your edit/delete on the renamed list. (Works in 2000, should be same in 2002).

    I see how you would copy an existing list to a renamed list and edit -- but how would one create a new distribution list from a received email. For example, I'm a new officer of a volunteer board. The secretary sends a notice to all the members of the board (including me). I have many of these people already in my contact list individually, but not all of them. How can I create a new copy of this distribution list in my Outlook 2002 without having to select all 55 of these contacts individually (after identifying and adding individually the 26 that I don't have)? I've tried several different attempts to "copy" and "paste" -- all to no avail.

    If you both use Outlook, probably the simplest way is to get the secretary to email you her dstribution list, as well as the contacts in it, as attachments. Then you can just copy them to your contacts folder.

    There's a potential problem if you intend to use the same distribution list to contact others, though. The secretary wll need to keep you posted on changes so both of your lists remain in sync. Two ways to avoid the problem. First, if you're on a server network, get the secretary's list moved to a public location so you can use it to mail, while she can still maintain it. Second, if first option no good, set up a rule on the secretary's system to forward your (specially flagged) emails to her distribution list. Either way, only a single copy of the distribution list is used so the sync issue is eliminated.
