    Out of Office Attendant Not Working (Prof Office Suite 2000)

    I had an employee return to the office after being away last week to discovery that no one received the message from the Automatic Office Attendant saying she was out. She tested it before she left by sending an in-office email. It worked fine. I even checked her settings for her. Everything looked ok. She has used it in the past with no problem. How do I determine the problem. She is running Windows XP machine. Thanks for your help.

    Are you saying no one in the office got it or no one outside the office got it? By default, out of office replies do not go out over the internet.

    No one outside of the office got it. Whenever anyone is away from our office they set the Out of Office Attendant. Any incoming emails will then receive their Out of Office Message. This has worked for everyone as long as I have been here (3 years), and with this particular user until this past time. Tell me how to change the default. Thanks!

    Well this may not be the problem. I've never heard of the setting being lost. But it's easy to check. In the Exchange Admin bring up the properties page for Internet Mail Service. It's a check box near the bottom of the page.

    I have to say, though, that there are very good reasons for not sending these out of the office over the internet, including personal and corporate security, and a real risk of a mail storm that could take down your server.

    Are you saying you would not recommend using the Out of Office Attendant feature? The mail storm would be because of all the Spam received & then sent the Out of Office Message? Would you say the majority of office do not use that Outlook feature?

    It works fine for in-office. You may have noticed that it only sends one reply to each sender.

    Unfortunately, it doesn't keep track for items that go out over the Internet service. So you can get in a snowball situation. For one example: Someone in your office gets some spam from a bogus address. They reply with out of office. The reply bounces back as undeliverable because the mail system attendant doesn't have a real address. They reply to that, etc., etc. The next thing you know, your pipeline is clogged and very soon after that your hard drive is full.

    There are lots of variations on this. Microsoft, and most consultants, recommend turning off the option to send OOO over the Internet.

    Don't overlook the 'personal' security aspects of OOO <img src=/S/exclamation.gif border=0 alt=exclamation width=15 height=15>.
    Would you put the message "I'm on Vacation for the next two weeks" on your home answering machine <img src=/S/question.gif border=0 alt=question width=15 height=15>
    It's surprising the number of OOO messages I see with similar comments. <img src=/S/bingo.gif border=0 alt=bingo width=15 height=22>

    Thanks for the info, Bowlie! We've never thought of that side. We were only thinking of customer service.
