    To: Fax or Email? (OL2002 sp2)

    When I create new mail in OL 2002 SP2, I get a listing of my contacts with duplicated names, one for the fax number and another for the email address. Is there any way to configure this so that only the email address item shows.

    Also the display names don't always show if it is an email address or a fax number. Is there any way to display what it is without having to edit each and every contact?

    Thanks!!

    A trick that works in every Outlook version is to add letters to the fax number; e.g., instead of a fax number of "703-555-1212" put in "Fax: 703-555-1212". The letters "Fax:" (any letters will work) keep Outlook from trying to fax to that contact.

    Of course, with this trick, you can't fax to a contact even when you want to -- at least using Outlook. I use this trick because I never use Outlook for faxing.

    I'm trying to avoid having to edit each of my contacts. I migrated from OL98 to OL2002 about a month ago and followed all the expert suggestions to merge my .pab with the contacts folder. I think that may have caused alot of the duplication.

    Also, I wonder if not using a .pab is such a good idea. At least the .pab gave me just email addresses. I still have my old one. Wonder if I should try using it. Do you know of any downside?

    Not really, except that MS wants to move to Contacts and away from PAB's. For your reasons I prefer to and do use a PAB.

    Thanks John. I'm going to do it, too. Maybe by the time MS won't accept using a .pab, they'll get Contacts right.

    Have added .pab without a problem. Any idea of how you can make this to be the prefered address book when you click on the To: button?

    P.S. I hike, too.

    FWIW, this code (with help from <!profile=HansV>HansV<!/profile>) will add the word "Fax: " in front of each Contact Fax. it pops up the folder list and you select a Contacts Folder, in case you have more than one.

    Sub changecontactfax()
    Dim nsNS As NameSpace
    Dim fldrContFldr As MAPIFolder
    Dim itmContact As ContactItem
    Set nsNS = Application.GetNamespace("MAPI")
    Set fldrContFldr = nsNS.PickFolder

    If Not fldrContFldr Is Nothing Then
    If fldrContFldr.DefaultItemType = olContactItem Then
    For Each itmContact In fldrContFldr.Items
    On Error Resume Next
    With itmContact
    If Trim(.BusinessFaxNumber) <> "" And Not InStr(.BusinessFaxNumber, "Fax") > 0 Then _
    .BusinessFaxNumber = "Fax: " & .BusinessFaxNumber
    If Trim(.HomeFaxNumber) <> "" And Not InStr(.HomeFaxNumber, "Fax") > 0 Then _
    .HomeFaxNumber = "Fax: " & .HomeFaxNumber
    If Trim(.OtherFaxNumber) <> "" And Not InStr(.OtherFaxNumber, "Fax") > 0 Then _
    .OtherFaxNumber = "Fax: " & .OtherFaxNumber
    .Save
    End With
    Next itmContact
    Else
    MsgBox fldrContFldr.Name & " is not a Contacts Folder" & vbLf & "Please choose a Contacts Folder"
    End If
    End If
    Set fldrContFldr = Nothing
    Set nsNS = Nothing
    End Sub

    Bother, I'm at work & don't have access to OL XP, but I think if you open the address book from the icon, and from the Address Book menu select Tools | Properties, you can set the order of address list name resolution from the Addressing dialog.

    That does it. Thanks alot!

    I've only done sections of the AT. Shenandoa, Harriman, Southern NY, and The Presidentials. Try to get on a trail a couple of times a month, but time has been short and weather has been awfull.
