Moving from CW to IMO - help! (Outlook 2000 SR-1)

My company just switched email servers to one that will support IMAP and I decided to switch from POP and CW Outlook to IMAP and IMO Outlook in order to be able to pull up all of my stored messages from home and on the road. I just "switched" on Friday but here are my two problems:

1. I now have a new mailbox complete with an Inbox and Outbox with the new email setting as its name and it is right above my normal Personal Folders. Can't I just change the Inbox I already have? Or how do I get all of my other folders connected to the new service and visible from other computers? (My office computer has Outlook 2000, but my laptop has the Office XP version [Outlook 2002?] if that would have any affect.)

2. In CW Outlook, when I deleted a message it was moved out of the Inbox into the Deleted Items folder and that was it. In IMO Outlook, when I delete a message, the color changes and a line is drawn through it but it doesn't go anywhere. I can't even move it to deleted messages. The only way I can find to get them out of my Inbox is to go to the Edit menu and select Purge Deleted Messages. That's a pain. How do I get it to sent deleted messages to the trash/deleted items folder?

I've looked everywhere I can find to look for solutions to these items but I am coming up empty. Can one of you help me? I'm starting to think this IMAP thing isn't worth it. HELP!!!

Thanks,
Eric

I use CW mode, so I've only used IMAP through Outlook Express, but what you're describing is consistent with my experience in OE.

#1: Your old Inbox is a local data store. Your new "Inbox" is a cache of what's on the server. Because those messages are not (unless you take additional steps) on your computer, it probably would not simplify your life to view them in the same folder. Anyway, I don't know how you could.

#2: I think that even though something you move to a folder seems already to be there, it's really just a notation and Outlook hasn't actually moved the messages until you run the purge cycle. Just a guess. Not the easiest thing to test unless you can sit with the mail server and watch what's happening.

Update: I dragged messages from Inbox to Junk and back to Inbox without purging and my POP client downloaded duplicate messages from the Inbox. So you really do have to purge to get rid of them.

Maybe you can create a toolbar button for purge to accelerate your access to it?

Jefferson may be on to something, but have you changed your default delivery location from the server where your email lives to a local PST file? You can change it by clicking on Tools - Email Accounts (you may have to click on the double down arrows at the bottom of the menu if you don't have that feature turned off). Next, make sure that View or change existing e-mail accounts is the selected option and click on Next. At the bottom of that screen, where are messages being delivered?

Making sure the default email account is highlighted in the white area of the window, click on Next. Do the top right white boxes read IMAP Server Addres or POP3 Server Address?

You should also be able to drag them from the server, which I believe you are looking at in Outlook's view, to the Inbox of your PST file. By default Outlook doesn't show the folder list, so you can turn that on by Clicking View and selecting Folder List. That might also be educational to see how it's all set up.

You have a POP3 address for the same server that you aren't using. Check and see if pop.{server_name}.com works, or ask someone who may know the name/IP address.

Thanks for the information from both of you guys.

Mark, I don't have the Tools - Email Accounts menu option. All I have is Accounts and it does not give me options like those you indicated. What does this mean? Are you using a version newer than Outlook 2000? Maybe that's the problem?

I have started dragging my existing folders to the new server folder, but it is a tedious process with as many folders as I have already.

Any other ideas would be appreciated. Thanks again for the help!

Sincerely,
Eric

Yes, I remembered right after hitting the post button that you were using OL2000 and I was checking this with the OLXP client. The idea is similar though - you're using IMAP, which means you are manipulating messages directly on the server. In order to download them from the server, deleting them from there as they populate your Outlook inbox, you need to set up a POP3 account. I don't have a 2000 client handy to check this with at the moment, so perhaps someone else using it can peek and see what the settings are supposed to look like??
