    'Reply using ...' ? (Outlook98/WinNT4)

    Does anyone know if it is possible to set something up in Outlook so that automatic text can be used in a reply email?

    We are now receiving a lot of instructions by email (we're a bank) and we would like to be able to have the equivalent of an autotext entry saying "thank you for your email which is receiving attention, we will be in touch soon" that we can just drop into the message area of a reply email so the customer knows we have received it, but we have a number of people whose typing skills are not up to typing it every time, and no way of restricting who receives these emails.

    Alternatively we thought of a form, but I don't know of any way of specifying that we want to 'reply to this email using such-and-such form' ... It would be too fiddly to set up a new form that could be selected and then filled with the data for the To and Subject fields, not to mention using the signature for the person concerned.

    Does anyone have any bright ideas, or perhaps a previously discovered solution?

    You should be able to use a "thanks" signature, if I understand correctly. You can insert more than one signature in an email, so one can be a "normal" one, the other the "thanks". In OL2K you select Tools | Options... | Mail Format | Signature Picker... to edit signatures. The Signature Picker lets you use a file as a template so that way you only need create this "thanks" signature once. OL98 may differ, but should have same functionality.

    Tim, that's great! It does just what we want it to!

    What's more, I use signatures in Outlook Express at home to do just that, so why it didn't occur to me this time I really don't know! <img src=/S/drop.gif border=0 alt=drop width=23 height=23>

    Tim's solution is elegant, and often that's best. The one problem with it is that it requires human intervention. Sometimes - especially with a generic reply like you have - it's better to take the person out and have the server automatically reply. I don't know if OL98 has that option since I never used it. But you might want to look into the rules wizard action "Have server reply using ..."

    Hi 'OldDog', thanks for that. Yes, we did consider having an auto reply on the server, but these messages are coming in to personal email addresses and are only a small percentage of the actual number of emails received by each person. We don't want this reply on the rest, so that one was no good, unfortunately.

    I think Tim's is perfect - apart from anything else, the users can use this method to set up numerous standard replies for their own use if they want to, which gets them off our back!

    Sometimes the solution is too close and needs someone peeking over your shoulder to spot it. I've been known to mutter "I knew that", once or twice <img src=/S/grin.gif border=0 alt=grin width=15 height=15>

    OldDog's suggestion of automating it with a rule will improve it further, as long as you can set the rule up to identify the emails that need the treatment.
