    Mail Merge (Word 2000)

    I am trying to merge a document with a data source. The data source was created in Word 97 by another user. There are approx 1898 records in the source - when you merge it together only around 1200 records come over.

    There are no options set - except for merge to new document.

    Any ideas most welcome?!

    Is the data source in the form of a table, or is it delimited text of some sort? If it's in a table, you may have a break somewhere in the table that stops the merge process.

    Have checked - there are no breaks - table runs continuously - plus the ones that are missing are random throughout the list - not all in one place at the end or whatever? There seems to be no connection between the ones that are missed at all?

    Do you see all of the data when you choose Edit Data in the Mail Merge Helper? If so, it sounds like Word has some sort of criteria set, even though you can't see it. If not, then it sounds like some sort of data corruption has occurred, and I would try converting it to delimited text, taking it to a simple text editor (or Excel) and see if that fixes things.

    Yes - you can see every record when you Edit Data. Do you know how to check Word any criteria?

    I have tried running this on a different PC but the same entires are missed out - so I am assuming that means it is not something specifically set on my PC.

    If you look at Tools/Mail Merge and in Step 3, underneath the merge button does it say Query Options have been set? If so press the query button and press the clear all button

    Hi Carolyn:
    If Hetty's suggestion doesn't work, try this.
    1. Make a copy of the datasource.
    2. In the copy, convert the table to text, then back to a table again. This should clear any corruption, if any, in the table.
    3. In the main document, change the datasource to the new copy & try the merge.

    Thanks Phil - that worked - have now got all the records merging through.
