    Customise Reports (Project 2000/2002)

    Hi folks,

    I am newish to Project and learning the painful way (on-the-job). I need to produce a very simple report (I think!). I have a list of tasks, task duration, and % complete. All I need is a report listing tasks with task duration, % complete, and remaining task duration based on the previous 2 columns. Is there anyway to produce this? Failing that can I export a report to Excell for manipulation.

    I have tried experimenting with the customise tool but can't find a table that has what I want. The closest is the Work Table but the figures for work do not correspond to the figures in Task Duration. If I have to use the Work Table is there a simple solution to gettng the work figures to match the task duration (I am afraid I'm not clear on the difference between how Project defines Work and Duration. Idealy, my Project should have them as the same....not sure what I have done wrong here.

    The report should be very easy to create but you lost me when you said, <<, % complete, and remaining task duration based on the previous 2 columns>>

    What does the previous two columns mean?

    The work table is probably not the table you want as the work is calculated based on resources. Try using the Task table to get the data you need.

    Hi Gary,

    Thanks for the reply. What I meant was a column showing "task duration remaining". i.e. if I have 2 columns showing "task duration" and "% complete" I should be able to get a calculated figure of "Task duration remaining" based on these figures. Basically the information shown in the Task Sheet view is what I want on a report, but without the summary tasks and with totals. Is this possible? and if so how do I do it?

    Julie:

    If you want a custom report, I would suggest the best way is to create a custom table, including the fields you want, and then create the report from the new table.

    I don't have Project with me at the moment, but from memory, go to View/Table/More Tables, select New and add in the fields you want in your report.

    Save the table; go to View/Reports/Custom and select your new table to build the report on.

    Hi Tony,

    Great idea, I didn't know about the "create Table" option. It has worked now, the only remaining question is: can I total the "remaining duration" column that shows the number of days left for each task? I selected the "show totals" option when editing the report but this does not appear to select the "remaining duration" column as data suitable for totaling. Any ideas.

    Are reports always this painful? As a Seagate Crystal Reports user I find MS Project very frustrating.

    Glad my previous post has done most of what you want. I'm pretty sure you can get the totals but, as I said last night (sic), I'm away from Project at the moment, so I'll have to get back to you on Friday, unless Gary has in the meantime.

    Can I ask why you would total the remaining duration column? If your schedule uses multiple predecessors and successors, totaling the remaining duration would not give you the true remaining days left of work to be complete. Odds are, you would get more days by summing all remaining durations. You would need to analyze your critical path to get the true remainind duration.

    As to Crystal Reports, you know you should be able to connect to MS Project directly from Crystal Reports and create reports that way. You just need to study the project table structure. I currently use MS Access to interface to Project and extract data.

    To answer the original question, to get the remaining duration to total, you would need to put the remaining durations in one of the number fields and then make the number field as part of the table you created for the report. The custom report will then total on the number field indicated.

    Morning Tony,

    Thank you so much for the help. Interested to see you are in Mid Glam. We used to live in Cefn Hengoed before work forced us to Birmingham, then we escaped to NZ last Feb to work on a major software conversion project for a big insurance company.

    Gary answered the "totals" question so I shall be plodding on with Project and trying to keep my boss happy.

    Hi Gary,

    Thank you for the help, much appreciated. I will try the Crystal connection, again as I am new to project I was not aware this could be done.

    As for the totals, I needed an idea of total man days left on a particular area of the project. I inherited the MS Project file and the resources are not quite right yet. The particular area I am analysing is software development and there are multiple change requests tasks (about 200) that a team of developers work on as and when they can and things are shuffled about all the time.

    As I am new to Project I am having difficulty analysing this kind of thing and getting out meaningful schedules. If you have any suggestions on how best Project deals with software development by a large team of developers with hundreds of tasks that take between 2-20 days each but get worked on for a few hours now and then, then I would be very happy.

    At the moment I am working mostly in Excel but my boss loves Project and thinks it has difinitive answers to all the questions in the universe!!!! But at the moment I know the reports I am producing in Project are mostly rubbish. Ah well, such is life.

    Your response to Julie was just what I was looking for, but I ran into a bit of a problem.

    I was able to create the custom table, but when I went to the View/Reports/Custom I don't see my table listed.

    Would you have a clue as to what I may have missed or done wrong?

    Select View Custom Reports and choose the custom category.
    In the Custom Reports list select the task report.
    In the report dialog box from the table dropdown select your custom table.
